Job description

We are seeking a highly organized and proactive Office Manager with a strong background in the financial or asset management industry. The ideal candidate will have at least 3 years of experience as a Front Office Manager or Office Administrator within the financial sector.

This role offers a salary range of 20,000 to 22,000 AED.

Key Responsibilities:

• Act as the primary point of contact for office operations and coordinate regional communications, meetings, and travel arrangements.

• Schedule and manage meetings and appointments.

• Maintain an organized office layout and ensure all necessary equipment and supplies are available.

• Collaborate with HR to update and implement office policies as needed.

• Coordinate with the IT department to manage office equipment and technology needs.

• Oversee invoicing, payments, and ensure timely processing.

• Manage contracts and negotiate pricing with vendors, service providers, and office leases.

• Prepare and manage the office budget, ensuring accurate and timely reporting.

• Provide support to visitors and ensure a welcoming office environment.

• Assist with onboarding new hires, including visa applications and orientation processes.

• Plan and organize in-house or off-site events, such as team celebrations and conferences.

Requirements:

• Proven experience (minimum 3 years) as an Office Manager, Front Office Manager, or Administrative Assistant in the financial or asset management industry.

• Proficiency in MS Office, particularly Excel and Outlook.

• Excellent time management, multitasking, and prioritization skills.

• Strong organizational and planning abilities in a fast-paced environment.

• Attention to detail and excellent problem-solving skills.

• Outstanding written and verbal communication skills.

• A creative mindset with the ability to suggest and implement process improvements.

• Diploma or university degree in Business Administration, Accounting, or a related field.

• Presentable, professional, and pleasant demeanor.
