Office Assistant

Job Summary: We are seeking a detail-oriented and proactive Office Assistant to support BIWIN Storage's administrative functions. The ideal candidate will be a resourceful individual who helps maintain office efficiency by performing a variety of clerical and administrative tasks. This role is essential for providing support to staff and ensuring smooth daily operations.

Key Responsibilities:

  1. Administrative Support:
    Handle general office duties including answering phones, greeting visitors, and managing correspondence.
    Organize and schedule meetings, appointments, and travel arrangements.
  2. Document Management:
    Prepare, edit, and proofread various documents and presentations.
    Maintain electronic and physical filing systems for easy retrieval.
  3. Office Supplies:
    Monitor and maintain office supplies inventory.
    Research, price, and order supplies as needed.
  4. Meeting Coordination:
    Set up meeting rooms with necessary equipment.
    Prepare agendas and take minutes during meetings.
  5. Data Entry:
    Input and update information in company databases and spreadsheets.
    Generate regular reports as requested.
  6. Mail Management:
    Process incoming and outgoing mail and packages.
    Coordinate with courier services for special deliveries.
  7. Basic Accounting Support:
    Assist with processing invoices and expense reports.
    Maintain basic financial records.
  8. Calendar Management:
    Maintain and update department calendars.
    Send meeting reminders to relevant team members.

Qualifications:

  • Associate's degree or equivalent; Bachelor's degree preferred.
  • 1-2 years of experience in an administrative or office support role.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Ability to prioritize tasks and work under deadlines.
  • Professional demeanor and customer service orientation.
  • Knowledge of office equipment operation and maintenance.
