Job description

Key Responsibilities

  1. Support both Head, Affluent and Wealth Solutions, EMEA & UAE and Head - Personal, SME & Digital Banking - EMEA in all aspects of business and administration in alignment with Group and Country strategies.
  2. Coordinate scheduling of meetings, business events, video conferences and conference calls.
  3. Ensure reliable support is provided in communicating with regional and global offices and counterparts.
  4. Support relevant business-related tasks and prepare reports and business presentations in a timely and accurate manner.
  5. Handle private & confidential documents and correspondences in an appropriate manner, for the Bank as well as external clients.
  6. Manage travel itineraries including meeting schedules, accommodation and transportation arrangements in accordance with Group Travel policies and procedures.

Business

  1. Responsible to assist in planning and support the Service Recipient and/or the Group’s leadership, thereby contributing to the delivery of the business and/or financial objectives.

Processes

  1. Responsible to perform all activities in line with the Group’s policies, guidelines and standards, as per the Operational Risk framework.
  2. Mailbox and Calendar management.
  3. Accountable for the active management of the calendar and/or mailbox of the Service Recipient (“SR”) including drafting responses on behalf, scheduling appointments, setting reminders, arranging travel, and expenses.
  4. Manage any appointments or scheduling conflicts in the best possible way.
  5. Collaborate, network and amicably manage challenging conversations with peers and seniors across the Group.
  6. Work closely with stakeholders and ensure that all meetings and appointment details are updated in the SR’s calendar, accurately and timely.
  7. Indicate or flag leaves, working from home schedules, public holidays and travel itineraries on the calendar, where appropriate and applicable.
  8. Meeting and/or Event organisation.
  9. Responsible for the preparation and coordination of meetings including publishing agenda as well as recording minutes and/or actions accurately.
  10. If required, coordinate weekly huddles and track action (follow up with relevant action owners or responsible persons to ensure completion and closure of outstanding actions).
  11. Where required, book meeting facilities (rooms or communication software such as video or audio-conferencing facilities).
  12. If participants include external parties for appointments, ensure there is local support to meet and greet visitors; and abide by local protocols.
  13. Actively participate in all team engagement activities and assist in coordinating activities to make the event(s) successful.

Risk Management

  1. Assist local Business Operational Risk Manager with quarterly KCSA checks including:
  2. Block leave tracking.
  3. E-learning tracking.
  4. Security Access reporting.
  5. Maintain Distribution List.
  6. Awareness and understanding of the regulatory framework, in which the Group operates, and the regulatory requirements and expectations relevant to the role.

Governance

  1. Ensure to give and adhere to all regulatory and group compliance.

Regulatory & Business Conduct

  1. Display exemplary conduct and live by the Group’s Values and Code of Conduct.
  2. Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank.
  3. Lead to achieve the outcomes set out in the Bank’s Conduct Principles.
  4. Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.
  5. Exercise authorities delegated by the Board of Directors and act in accordance with Articles of Association (or equivalent).

Key stakeholders

  1. WSDM and Regional EA offices.
  2. Wealth Management colleagues across the Group.
  3. Business Support and Admin teams in country, region and the broader network.
  4. Technology, HR, Finance, Legal, Compliance, COO.

Other Responsibilities

  1. Embed Here for good and Group’s brand and values in Wealth Management team.
  2. Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedure.

Skills And Experience

  1. Business writing.
  2. Using and applying office software.
  3. Online meeting setup.
  4. Familiar with banking terminology.

Qualifications

  1. Bachelor’s Degree / Graduates from a recognised university.
  2. Having worked in a similar EAS setup will be an added advantage.
  3. Certifications - Any secretarial course / certification will be an added advantage.
  4. Languages - Business English – spoken fluently and excellent writing abilities.
