Job description

The Office Manager plays a pivotal role in ensuring the smooth and efficient operation of Arboris Capital’s office at DIFC. This position involves managing administrative processes, supporting senior executives, and maintaining an organized, high-functioning work environment. The role requires a proactive, detail-oriented professional with strong organizational and interpersonal skills, capable of handling multiple responsibilities in a dynamic financial services setting.

Key Responsibilities

Office Administration & Operations

  • Oversee day-to-day office operations, ensuring efficiency and organization.
  • Maintain office facilities, liaising with DIFC property management and service providers.
  • Manage office supplies, IT support coordination, and procurement needs.
  • Ensure compliance with DIFC office regulations, health & safety standards, and DFSA guidelines where applicable.
  • Implement office policies and procedures to enhance operational efficiency.
Executive Support & Coordination
  • Provide administrative and logistical support to senior executives, including calendar management, travel arrangements, and expense reporting.
  • Handle confidential documents and communications with discretion.
  • Assist in the preparation of reports, presentations, and business correspondence.
  • Coordinate internal and external meetings, including investor presentations and board meetings.
Human Resources & Employee Engagement
  • Support the HR function by managing onboarding, maintaining employee records, and assisting with DIFC visa processing.
  • Facilitate team engagement initiatives, corporate events, and wellness programs.
  • Assist in implementing DIFC employment policies and ensuring regulatory compliance.
Financial & Vendor Management
  • Manage office budget and expenses, ensuring cost efficiency.
  • Handle vendor contracts, service agreements, and procurement negotiations.
  • Process invoices, coordinate with finance on payments, and track operational costs.
Communications & Client Engagement
  • Serve as the primary point of contact for office visitors and clients.
  • Ensure seamless communication across departments, fostering a professional work environment.
  • Support business development activities by coordinating events, investor meetings, and corporate hospitality.
Required Qualifications And Skills

Education & Experience
  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Minimum 5+ years of experience in office management, executive assistance, or administration, preferably in financial services or DIFC-based firms.
  • Familiarity with DIFC regulations, DFSA compliance, and UAE labor laws is a strong advantage.
  • Experience in managing vendor relationships, budgeting, and executive support.
Technical & Professional Skills
  • Excellent organizational skills with the ability to multitask and prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of CRM or HRMS software is a plus.
  • Strong understanding of office operations, procurement, and financial administration.
  • Ability to handle confidential information with discretion and professionalism.
Soft Skills
  • Proactive & problem-solving mindset – ability to anticipate needs and address challenges efficiently.
  • Strong communication skills – both written and verbal; fluency in English is required, Arabic is a plus.
  • Professionalism & adaptability – ability to thrive in a fast-paced investment banking environment.
  • Attention to detail – high standards of accuracy in administrative and financial tasks.
