This role is essential in creating a welcoming, well-organised, and comfortable office environment that enhances both our team’s and our clients' experiences.

Role Summary

As the Office Admin/Guest Experience Coordinator, you will be the face of our office, responsible for ensuring that every client visit is smooth and pleasant. From assisting clients with parking arrangements to preparing refreshments and keeping our office space immaculate, your role is crucial in supporting our team’s productivity and our clients’ satisfaction.

Key Responsibilities

  1. Client Experience
    1. Greet clients warmly upon arrival, provide parking assistance, and ensure they feel comfortable.
    2. Prepare and serve beverages (tea, coffee, etc.) to clients, creating a welcoming environment.
    3. Ensure all meeting rooms are clean, organised, and ready for client use, with necessary equipment available and functioning.
  2. Office Upkeep
    1. Maintain a clean and organized office environment, including common areas, kitchens, and meeting rooms.
    2. Ensure all office supplies are stocked, including fruits, coffee, and cleaning materials.
    3. Keep office equipment, such as printers, stationery, and other resources, fully stocked and operational.
  3. Team Support
    1. Provide general support to the office team by assisting with administrative tasks and ad hoc projects.
    2. Ensure that cupboards are well-organised and supplies are easily accessible to the team.
    3. Collaborate with the Office Manager to streamline office operations and support team events or initiatives.

Qualifications

  • Previous experience in an office administration or guest services role, ideally within a client-facing industry.
  • Excellent communication and interpersonal skills with a focus on client satisfaction.
  • Strong organisational skills and attention to detail.
  • Ability to multitask and prioritize tasks efficiently.
  • Positive attitude with a proactive approach to problem-solving.

Salary

Up to 3,000 AED depending on experience.
