Job Title: Office Administrator

Key Responsibilities:
Customer and Sales Support:
- Process customer refunds, verify booking payments, and handle car reservations.
- Prepare monthly commission and sales reports for all brands.
- Check, organize, and manage files for sold cars across all brands.
Administrative Operations:
- Create and process purchase requests in SAP for cars and related items.
- Manage monthly invoices and coordinate with Finance for submission.
- Oversee branch asset acquisitions and disposals.
HR, PRO, and Employee Coordination:
- Handle monthly attendance, leaves, tardiness, and overtime reports.
- Coordinate staff matters with HR/PRO, including joiners, clearances, and training.
- Manage leave requests, Return-to-Duty processes, and reimbursements.
Facility and Maintenance Management:
- Notify Facility Management for showroom repairs and maintenance needs.
- Review and manage security reports for branch facilities.
Compliance and Reporting:
- Manage audit-related files and ensure compliance documentation is updated.
- Prepare meeting minutes and organize year-end archiving and records.
Requirements:
- Education: Bachelor’s degree or diploma.
- Experience: Minimum of 2 years in a similar administrative role.
- Skills & Abilities: Proficiency in computer systems, strong organizational skills, and attention to detail. Fluency in English is essential, and Arabic is preferred.
