Reach World (The Real Estate Office in Dubai) is looking for an Office Administrator

Job Description:

We are seeking a skilled and organized Office Administrator to join our real estate team in Dubai. The ideal candidate will oversee office management, financial administration, client relations, and provide administrative support to ensure smooth operations. This role involves maintaining a professional office environment, handling financial tasks like invoicing and expense tracking, scheduling appointments, and managing documentation. Strong organizational and communication skills are essential, along with proficiency in Microsoft Office.

Responsibilities:

Office Management:

  1. Oversee the day-to-day operations of the office.
  2. Maintain a clean, organized, and professional office environment.
  3. Ensure office supplies are adequately stocked and order new supplies as needed.
  4. Handle financial tasks such as invoicing, expense tracking, and overall account receivable management.
  5. Handle rent and sale collection and ensure timely payments.
  6. Follow up with Developers for upcoming due agency commission.

Client and Customer Relations:

  1. Greet clients and visitors in a friendly and professional manner.
  2. Answer and direct phone calls, emails, and inquiries to the appropriate staff.
  3. Assist clients with general inquiries and provide excellent customer service.

Appointment Scheduling:

  1. Schedule appointments and property showings for real estate agents and brokers.
  2. Coordinate with clients and agents to confirm appointment times.
  3. Maintain a master calendar to avoid scheduling conflicts.

Document Management:

  1. Organize and maintain digital and physical files related to property listings, contracts, and transactions.
  2. Ensure all documents are accurate, up-to-date, and compliant with regulations.
  3. Handle all types of contracts manually and online.
  4. Construct all types of letters and other documents.
  5. Manage title deed registrations and Golden Visa applications.

Team Support:

  1. Provide administrative support to real estate agents and brokers, including preparing documents, reports, and presentations.
  2. Assist in coordinating team meetings and training sessions.
  3. Ensure that the office complies with all relevant real estate regulations and laws.
  4. Maintain records of licenses, certifications, and continuing education for agents and staff.

Requirements:

  1. Arabic Language must be the candidate's mother language.
  2. Excellent knowledge in Microsoft Office (Word and Excel).
  3. 2-4 years of relevant experience.
  4. The candidate must be a resident in Dubai.
