Job description

As an Administrative Assistant at GISDrones, you will play a pivotal role in ensuring the smooth and efficient operation of the company's administrative functions. You will support the department head and executives by managing schedules, handling communications, and coordinating office activities. Your role will require strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities:

  • Manage and maintain calendars, scheduling meetings, and coordinating appointments for department heads and executives.
  • Handle both internal and external correspondence in Arabic and English, ensuring effective and professional communication.
  • Prepare reports, presentations, and other business documents as needed.
  • Organize and maintain both electronic and physical filing systems for easy access to documents.
  • Assist with procurement and inventory management of office supplies, ensuring resources are adequately stocked.
  • Support HR-related tasks such as tracking attendance, managing leave requests, and maintaining employee records.
  • Arrange travel bookings, accommodations, and transportation for executives and staff.
  • Coordinate and plan company events, meetings, and conferences, managing logistics and documentation.
  • Ensure compliance with company policies and procedures in all administrative tasks.
  • Help process expense reports, invoices, and other financial documents.
  • Communicate with vendors, service providers, and office suppliers to ensure smooth operations.
  • Act as a point of contact for internal and external stakeholders, directing inquiries to the appropriate personnel.
  • Support the IT department with basic troubleshooting and coordinating technical issues as required.
  • Maintain office records, databases, and documentation, ensuring accuracy and compliance.
  • Perform other administrative duties as required to support business operations.

Qualifications and skills:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • 2-3 years of experience in an administrative support role.
  • Proficiency in both Arabic and English, spoken and written.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Strong attention to detail and the ability to handle confidential information.
  • Proactive problem-solving skills with adaptability in a dynamic environment.
