The Opportunity

This role supports the UAE Executive Leadership and the Director of Finance and Business Operations, ensuring that office operations meet our business and hospitality needs. This role is based in Abu Dhabi and requires in-office presence five days per week.

This role ensures that the infrastructure and systems required for SYP AD leadership and teams are in place to do their best work. The performance and actions of the ABP are highly visible and have significant impact on the leadership and teams they support, and therefore on SYPartners as a whole. The ideal candidate demonstrates strategic thinking, a deep understanding of systems, shows empathy, poise, discretion, and is a proactive team player.

This role also understands the nature of SYP's business, philosophy, and approach to ensure that the office space and its day-to-day operations meet business and hospitality needs for project teams, client and guest visits, and our own staff's needs. This role maintains the office appropriate to SYP's culture, inspired by the Guest-Host Relationship, and in partnership with other teams and functions. The Office & Admin BP actively identifies and anticipates needs, solving problems proactively and innovatively to design seamless customer experiences.

How You' ll Drive Impact
Administrative Support

  1. Schedule meetings and manage complex calendars for the UAE Leadership Team.
  2. Manage and book the Leadership's/teams travel in collaboration with the appropriate staff member.
  3. Communicate regularly with Leaders/team to ensure they are apprised of changes.
  4. Submit timesheets and expense reports for the Leadership team.
  5. Keep the Executive(s)/team organized with meeting materials and immediate priorities.
  6. Proactively ensure that the Leader and/or team has the time and resources needed to accomplish their goals.
  7. Remain connected to the SYP Admin Team in the US to maintain standards of support.
  8. Support non-local leaders and SYPs when traveling to the UAE.
  9. Support scheduling of talent recruitment interviews for the UAE team.
  10. Run project-related errands in coordination with PM team and team members as needed.
  11. Actively engage in developing cross-training/collaboration across disciplines.

Office Management & Hospitality Services

  1. Onboarding to the space: oversee the onboarding/offboarding process for new hires.
  2. Hospitality and support for our people: provide hospitality services for our employees and clients/guests.
  3. Office management: ensure the smooth functionality of the space by regularly checking the conference rooms and maintaining the office.
  4. Vendor management: track all vendors connected to running the space.
  5. Provide basic IT support for conference room tech and manage laptop inventory.

Qualifications

  1. 3 to 5 years of executive assistant experience (including at least 2 to 3 years of executive-level support).
  2. Proven ability to collaborate in an administrative team environment.
  3. Exceptional judgment and excellent written and verbal skills.
  4. A friendly, customer-service-oriented approach.
  5. Sharp attention to detail and ability to stay organized while prioritizing a busy workload.
  6. Ability to problem-solve innovatively and creatively.
  7. Expert knowledge of Microsoft Office applications and Google Suite.
  8. Comfortable with various video meeting formats.
  9. Proficiency or high comfort-level with technology.
  10. Proficiency in verbal and written Arabic highly desirable.
