Job Purpose:

The job holder will be responsible for executing comprehensive stakeholder engagement activities including building and maintaining strong relationships with key stakeholders ensuring the organization's long-term success.

Key Responsibilities:

Stakeholder Engagement:

  • Execute a comprehensive stakeholder engagement strategy aligned with the organization's overall goals and objectives. Identify and prioritize key stakeholders across various groups.
  • Proactively address stakeholder concerns, understand interests, and identify potential areas of impact on the organization and inform the CEO for strategic decision-making.
  • Build and maintain strong, collaborative relationships with stakeholders based on trust and mutual respect to foster long-term partnerships and secure stakeholder buy-in.
  • Develop and deliver compelling presentations and communications to engage stakeholders, promoting transparency and building stakeholder confidence.
  • Advocate for the organization's interests while considering and integrating stakeholder perspectives to achieve balanced and sustainable outcomes.
  • Facilitate open communication channels and address stakeholder concerns effectively, mitigating potential risks to maintain positive relationships and build trust.
  • Collaborate with internal teams (e.g., marketing, communications, public relations) to ensure consistent messaging across all stakeholder interactions, creating a unified and credible brand image.
  • Monitor industry trends and best practices in stakeholder engagement, staying ahead of emerging issues and adapting strategies accordingly to maintain a competitive advantage.
  • Track stakeholder feedback to inform management for strategic decision-making, incorporating stakeholder insights to improve organizational performance and achieve long-term goals.

Project Management and Communication:

  • Manage stakeholder engagement projects, ensuring timely completion, efficient resource allocation, and alignment with strategic objectives.
  • Maintain a comprehensive stakeholder database for effective communication and relationship management.
  • Maintain a log of the CEO's directions and the status of each, including coordination with internal departments/stakeholders on assigned tasks.
  • Facilitate effective communication across the organization by ensuring timely and accurate dissemination of critical information relevant to stakeholder engagement.

Executive Support and Relationship Building:

  • Support the CEO to execute strategies for building and maintaining strong relationships with key executive-level stakeholders.
  • Manage the CEO's calendar and schedule stakeholder meetings, ensuring efficient coordination and communication as needed.
  • Draft and proofread correspondence on behalf of the CEO, maintaining a professional and accurate voice.
  • Anticipate the CEO's needs and proactively provide support and information related to stakeholder engagement matters.
  • Prepare insightful reports on stakeholder engagement activities, including key insights and recommendations, for the CEO and senior leadership.
  • Draft and proofread high-quality communication materials (e.g., presentations, reports, press releases) related to stakeholder engagement initiatives.
  • Organize and maintain an accurate database and filing system to store departmental files and documents in a confidential manner and maintain records (physical and digital filing) of all departmental correspondence, documents & reports ensuring easy retrieval.
  • Provide support with team engagement activities and departmental gatherings as per departmental plan and ensure its smooth operations.
  • Responsible for handling sensitive information with discretion and maintaining confidentiality at all times.

Desired Candidate Profile:

  • Bachelor’s degree in Business Administration, Public Relations Management, Office Management, or related field.
  • Any relevant certification such as Certified Office Manager (COM) or Professional Certificate in Stakeholder Engagement (PCSE) - preferred.
  • Min 4-6 years’ experience in stakeholder engagement, public relations, or a similar field.
  • Proficient in MS Office – full suite.
  • Well-versed in stakeholder engagement software and/or communication platforms (e.g., CRM systems, email marketing tools) - preferred.
  • Excellent verbal and written communication skills (both English and Arabic).
  • Well-versed in document management systems to store, retrieve, and manage digital files and records.
  • Ability to build trust and rapport with stakeholders from various backgrounds and at different levels.
  • Excellent project management and organizational skills with the ability to manage multiple priorities effectively.
  • Strong public speaking and presentation skills with the ability to tailor communication to diverse audiences.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to establish and maintain professional relationships.
  • Flexible to handle changing priorities, tasks, and responsibilities.
