Logistics Coordinator - Arabic/French Speaking

Our client, a multinational company, is looking for a Logistics Coordinator.

Job Responsibilities:

  1. Logistics Coordination for export shipments (responsibility: Regional (HQ))
    1. On a daily basis, manage all export shipments from Jebel Ali Free Zone & from factories as soon as delivery number and SI is given by the customer service team for the MEA region.
    2. Handle any export shipments related to the service team (Service, Parts, Technical, Controls, warranty & affiliates), irrespective of the mode of shipment like sea, courier, normal air, land & type of order, i.e., shipments w.r.t SI from the related team.
    3. Prepare shipping documents coordinating with the CS team, customer/Affiliate, forwarder, factory & warehouse.
    4. Align with the factory on the forwarder details, delivery numbers & documents for shipments from factory directly to customers or affiliates.
    5. Close coordination with CS team, factory, customer/Affiliate & forwarder required for timely movement of shipment.
    6. Timely information with delivery proof, AWB or B/L copy has to be shared with CS team / Affiliate upon shipment collection.
    7. Coordinate with certifying agencies like TUV, SGS, BV to be done for COC in line with customer requirements together with factory or warehouse.
    8. Review and monitor the shipments which are moved on CIF, CFR, FOB, DDP, DDU basis.
    9. Closely coordinate with the credit team and submit all the LC, SBLC, CAD documents on time in line with company and customer requirements.
    10. Responsible for clearing the invoices from forwarders on time and informing the payables team for payments.
    11. Establish professional relationships with forwarders and hold periodic meetings with all forwarders & warehouse to meet our logistics needs & negotiate better rates.
    12. Continuously monitor and minimize transport costs.
    13. Regular meetings with forwarders and warehouse to understand changes happening and update the team.
    14. Handling below DSM role for service team:
      1. Work order creation for Project Sales
      2. General Repair
      3. Spare Parts
      4. Commissioning
      5. Goodwill sales
    15. Create DOS & Extended warranty contracts.
    16. Invoicing, closing the work order & coordination with R2R for revenue recognition.
    17. Prepare monthly KPIs and reports on the logistics role.
    18. Work in line with JSOX process and advise on process improvements.
  2. ERP System – Key User role
    1. Perform key user role in ERP system.
    2. Train new users on ERP process and flow.
    3. Testing to be performed together with IT for any new development in the system for logistics functions.

Job Requirements:

Experience & Knowledge:

  • Knowledge & working experience on export logistics for the MEA region.
  • Should be familiar with Incoterms.
  • Working proficiency in ERP system.
  • Excellent networking and time management skills.

Education:

  • Bachelor’s degree.
  • Diploma/training courses in Logistics management (optional).

Skills:

  • High level of negotiation skills needed.
  • Proficient working knowledge of Excel, Power Point, and other MS tools.
  • Out of the box thinking to participate in process improvements.
  • Proficiency in written and verbal communication and negotiation skills.

Personality Attributes:

  • Results and Quality oriented.
  • Accurately and reliably provide correct solutions.

Preferred:

  • Willingness to work under pressure and take challenges.
  • Working knowledge on export logistics to the MEA region from Jebel Ali FZE.
