Job description

Maternity Cover: 6 month Contract

Salary: Up to AED28K/month

Job Overview:

The Assistant will support the Projects Team and Project Finance Team, reporting to the Dubai Office Coordinator. The role requires flexibility in hours and the ability to provide out-of-hours support.

Hours: 8.30am to 5.30pm

Start date: December

Potential for permanent role starting December.

Responsibilities:

  • Answering the main switch line, dealing with enquiries and relaying messages
  • Ensuring meeting rooms are set up for meetings
  • Meeting and greeting clients as and when required
  • Providing refreshments for clients
  • Arranging catering as needed
  • Diary management including arranging meetings and appointments
  • Maintaining electronic files in iManage
  • Formatting various documents/agreements into house style
  • Proofreading to ensure accuracy and adherence to house style
  • Checking defined terms and cross-references in project documents
  • Completing first drafts of engagement letters as required
  • Inserting markup into deviation tables
  • Collecting/collating/sending signature page packs for completed deals
  • Drafting diagrams in Jigsaw
  • Creating PowerPoint presentations
  • Adding contacts to interaction
  • Running redlines
  • Collating project bibles as needed
  • Booking flights/hotels/sorting out visas as required
  • Making restaurant reservations
  • Assisting in the organization of the yearly client event
  • Arranging FedEx collections when required
  • Providing backup support for the Office Coordinator in their absence
  • Performing other ad-hoc duties as required

Billing – 3E:

  • Running proformas as required and on a monthly basis
  • Editing proformas as marked up by partner
  • Finalizing proformas
  • WIP reports as required by fee earner

ChromeRiver:

Submitting expenses for team members and external vendor invoices as required.

IntApp Intake:

New Client/Matter Opening/Conflict Checks.

Minimum Qualifications:

Must have strong legal secretarial experience, be based in Dubai, and possess fluent English. Ideally seeking a mature candidate who can hit the ground running.
