Job description

A minimum of 3-6 years of experience as a Legal Assistant at a law firm or in Real Estate is preferred.

Previous experience as a legal or paralegal secretary will be advantageous.

Superior analytical and problem-solving skills, with the competence to exceed expectations in dynamic and competitive operational environments.

A proactive nature, coupled with a meticulous eye for detail and ability to organise complex information accurately.

Remarkable time management and multi-tasking skills to deliver with precision, even under pressure.

Impeccable communication skills, both verbal and written, with fluency in English (Arabic proficiency is a plus).

Flexibility to work a variety of shifts, including weekends and holidays, based on the requirements of the department.

Mastery in handling confidential information with the utmost discretion, ensuring seamless adherence to privacy protocols and ‘FIVE-Styled’ security standards.

Key Responsibilities

Provide comprehensive support to the Legal Counsel and Real Estate Manager as needed.

Manage and update calendars, coordinate meetings, and oversee document control and filing for both the Legal and Real Estate teams.

Review, proofread, and ensure a thorough understanding of legal requirements for all contract formats in both English and Arabic.

Assist the Legal Counsel and Real Estate Manager with information management and administrative tasks.

Draft, revise, and edit legal correspondence and documents while collecting and analyzing relevant data.

Develop and maintain both physical and digital filing systems and archives for legal and real estate records.

Efficiently handle multiple tasks while ensuring confidentiality in all legal and real estate matters.

Oversee financial obligations related to retail spaces, including post-dated cheques, invoice management, and utility payments.

Maintain an accurate and up-to-date database of clients, retail agreements, government documents, and contracts.

Prepare retail leasing contracts, addendums, NOCs, and license and permit applications.

Conduct research to identify potential new or replacement retail clients as required.
