Job description

Job Purpose

The Key Accounts Admin Manager plays a crucial role in optimizing the operations of the Key Accounts team, ensuring seamless administrative processes, efficient client management, and operational continuity. The Admin Manager acts as a key support function to the Key Account Managers (KAMs), handling essential administrative tasks, managing manual processes, and providing backup support during KAM leaves. This position requires strong organizational skills, customer service expertise, and knowledge of Free Zone operations and industrial client needs.

Core Responsibilities

  1. Serve as a backup for all KAMs during their leave, ensuring uninterrupted client services.
  2. Reduce the extra burden on KAMs who cover for each other, minimizing workload spikes.
  3. Manage leave schedules to minimize overlaps and maintain smooth operations.
  4. Take ownership of manual processes such as Downsizing, TOF, Deregistration, Assignment of Lease, Sublease, and TSS requests.
  5. Ensure timely and accurate follow-ups to streamline service delivery and allow KAMs to focus on strategic engagement.
  6. Develop and maintain tracking systems for customer requests to ensure service efficiency.
  7. Follow up with customers and KAMs to track progress and ensure transparency and responsiveness.
  8. Manage data collection, verification, and processing from customers and internal teams.
  9. Ensure accuracy and compliance of customer data.
  10. Maintain records such as knowledge documents, event lists, customer visit logs, renewal history, and KPI-related data.
  11. Act as a standby resource in case of KAM vacancy to ensure continuity in client service.
  12. Proactively manage key operational functions to reduce service gaps.

Qualifications, Experience, & Skills

  1. Bachelor's degree in business administration or Marketing.
  2. 5-7 years of experience in administrative management, key account support, or customer service.
  3. Experience in Free Zone or industrial business environment preferred.
  4. Proven skills in workflow optimization, data management, and process coordination.
  5. Fluent in English & Arabic.
  6. Strong communication and interpersonal skills.
  7. High attention to detail and ability to manage multiple tasks efficiently.
  8. Willingness to visit parks and attend events as needed.
  9. Demonstrates resilience and adaptability under pressure.
