Job description

Job Purpose

The position is responsible to overall manage and support the Payroll Management, Recruitment and Selection, File Management, and General Administration activities of the HR department, aligned with the organizational goals and strategies.

Duties and Responsibilities

  1. Manage the Main Payroll and the Interim Payrolls for all employees providing the payroll instructions for the Payroll shared services Team accurately on time.
  2. Perform Payroll Readiness, verifying the payroll reports, obtaining approvals from the Management, and coordinating the payroll file uploading and bank file approvals.
  3. Managing distribution of pay slips for worker-category employees printing them and distributing at the camp premises.
  4. Managing bank account openings for new joiners and coordinating the proper delivery of the C3 cards to employees’ hands before processing the payroll.
  5. Manage ‘Exit Payroll’ and final settlements of the employees, starting from Exit Checklist to banking of End of Service Settlement and Visa Cancellation.
  6. Coordinate the separated employees' Company Shares and transmit the share amounts to their required bank accounts inside or outside UAE.
  7. Prepare the required monthly and other MIS reports and Presentations.
  8. Maintain 100% accuracy in employee data management.
  9. Manage the Recruitment of both staff and worker categories, starting from RRF to Onboarding.
  10. Handle the selection process - managing all the interview processes.
  11. Manage the new visa applications - from document collection, document attestation, new visa application, new medical typing, Emirates ID typing, Visa stamping and Residency issuing.
  12. Manage the employee onboarding and conducting the induction program for the new joiners both staff and workers - arranging camp accommodation and induction plans.
  13. Manage the employee personal files keeping all employee documents well filed and timely updated.
  14. Employee Grievance Management through weekly HR Hub Programme, paying attention to all employee grievances and providing solutions.
  15. Preparation of all official letters - offer letters, promotions, increments, warning letters, experience certificates, bank letters and all other employment letters.
  16. Handle employee engagement of the Group through coordinating events and other activities both in and out of the office.
  17. Maintain professional and technical knowledge through continuous learning, by attending educational workshop, training, and e-learning programs, by reviewing professional publications and by benchmarking best practices.
  18. Responsible to comply with the applicable HSE and Road Transport Services (RTS) procedures, instructions, laws, and applicable regulations.
  19. Work ethically and report any violations and acts that may affect the health, safety, environment, ethics, and company reputation.
  20. Perform any other task, as assigned from time to time by the company, based on business requirements.

Desired Candidate Profile

  1. Education: Preferably MBA (HR) or equivalent from an accredited University.
  2. Professional Certification: HRM, SPHR/ CIPD or any similar HR certifications may add value.
  3. Specialized knowledge: UAE Labor Law and local rules and regulations.
  4. Skills: Strong communication skills, organizational and leadership skills, man management, strong data analytical skills, interviewing skills and self-starter.
  5. Other characteristics: Should be a team player, honest, self-confident, disciplined, highly organized and able to prioritize tasks.
  6. Experience: At least 3 years of relevant work experience in the HR department of a reputed company in UAE.

Working Conditions

  1. Needs to work more independently.
  2. Standard hours of work. Sometimes, based on business requirements, the employee may be required to work for extended hours.

Physical Requirements

  1. Expected to dress professionally, as per the company standards.
  2. Must be in good health, physically fit and with good vision.
