Job Title: Hard Services Supervisor

Business: SSC

Job Purpose: The Hard Services Supervisor is required to manage day-to-day operations in a modern multi-tenanted commercial building, overseeing a direct delivery and subcontract service team to ensure high levels of client and end-user satisfaction. The Supervisor will demonstrate well-developed soft skills to augment multidisciplinary expertise in building maintenance. Additionally, the Supervisor will develop a detailed understanding of the varying requirements of the building's tenants and create additional revenue opportunities through selling optional tenant-focused services and adhering to best industrial standards to deliver outstanding quality of our assets and optimum performance of our resources.

Principal Accountabilities:

  1. Manage all aspects of Facilities Management hard services including but not limited to maintenance and/or repair of access equipment, air conditioning, building fabric, capital works, lift & escalator services, fire & security systems, generators, HL/LV electrical systems, lighting, water/plumbing, UPS, HVAC, lighting protection, CCTV & access control hardware, and assist with decoration & refurbishment.
  2. Manage hard service suppliers on a daily, weekly & monthly basis, ensuring outputs and staffing levels are cost-effective, safe, and secure, maximizing their added value and support to ensure stakeholder satisfaction and maintain excellent quality at ENOC's premises.
  3. Ensure that team members of suppliers are provided learning, development & training opportunities by identifying successors within the team and considering them for the next accountable roles and responsibilities.
  4. Develop policies & standard operating procedures, technical scope of works for any hard services at ENOC's premises, and ensure service providers follow them.
  5. Review, develop, and update relevant existing technical scope of works, procedures, operating manuals, and instructions as required as part of continuous process improvement.
  6. Develop all required KPIs and SLAs for service provider suppliers and ensure they are managed; identify improvements to suppliers' processes where targets are not met.
  7. Manage implementation of relevant electronic systems/smart solutions/innovations to enhance efficiency and effectiveness of existing processes.
  8. Maintain compliance with the Integrated Management System (SHEQ), Building Management System, etc.
  9. Prepare and present inputs related to ENOC's assets & projects budgets to the next reporting line.
  10. Manage and control actual costs versus budget on a periodic basis; provide financial reports/data related to the department/divisional/project's financial performance; review & endorse invoices to ensure expenditure aligns with plans and forward them for approval.
  11. Conduct regular site audits to ensure assets are well-maintained.
  12. Perform regular safety reviews, audits, and inspections on all hard services work activities, including non-routine maintenance & repair activities and Planned Preventative Maintenance (PPM) activities in a proactive manner.
  13. Manage stakeholder relationships through regular visits, timely responses to requests, resolving issues, and identifying steps for improvement when required.
  14. Oversee effective provision of services for internal and external customers, maintaining professional relationships between the company & stakeholders and/or tenants.
  15. Produce & manage hard services records and ensure suppliers manage maintenance and repair of cleaning equipment as required.
  16. Focus on continuous improvement of all hard service activities and actively innovate wherever possible.
  17. Ensure full compliance with relevant local laws, rules, regulations & the requirements of civil defense, municipality, police, etc.

Additional Principal Accountabilities:

  1. Bachelor's Degree in Engineering or professional & vocational qualifications including industrial standards certification such as IFMA.
  2. 6-8 years of experience in Facilities Management hard service operations with output specifications in a performance-managed environment.
  3. Excellent knowledge and expertise in Facilities Management Operations with a minimum of 5 years experience working in the GCC.
  4. Preferably previous experience managing multi-tenanted buildings and extensively directing hard service delivery teams through benchmarking techniques to improve service quality.
  5. Focused self-starter with attention to detail and passion for service delivery.
  6. Well-developed written and verbal English communication skills with report preparation expertise and proficiency in computer use.
  7. Strong organizational skills and ability to coordinate and deploy service provider staff and/or contractors in their duties.
  8. Successful application of team building skills to develop high-performance delivery teams.
  9. Active listening skills and the ability to consider all opinions.
  10. Commercially aware with exposure to the aspects and requirements of conducting business in a large commercial building.
  11. Ability to deal with difficult people and situations, making appropriate judgment decisions.
  12. Record of implementing systems to effectively record, address, and finalize maintenance issues.
  13. Well-organized, methodical manner with problem-solving ability to think on the run.
  14. Confidence to make independent decisions while knowing when to seek advice or escalate to the next reporting line for final decisions.
  15. Ethical, honest, adhering to principles & values, delivering results & meeting customer satisfaction, following instructions & policies, and procedures.
