As the Inventory Controller, you will be primarily responsible for maintaining proper records of stock move-in and move-out of all inventory items, placing timely orders for regular use office supplies based on existing stock availability, taking into account delivery timelines, reserve stock, etc., all while ensuring that adequate inventory of all supplies is maintained at all times in all stores and sites.

In this role, you will:

1. Update any stock-in / stock-out activity on inventory management software;
2. Place timely orders to refill the stock upon reaching the minimum stock quantity, considering delivery lead time, day-to-day usage of items, and item priority;
3. Tag all assets, configure proper asset class on the inventory management software, and conduct regular asset audits across all facilities and stores;
4. Maintain a detailed asset register with details about asset parameters like asset lifespan, purchase price, depreciation, cost spread across asset lifespan, end user to whom the asset is allocated, and receipt of assets upon employee resignation / termination;
5. Raise purchase requisitions and purchase orders through company-wide software under the concerned business vertical / department-allocated budget, obtaining approvals for any excess budget spends from finance;
6. Follow up with concerned stakeholders for timely approvals of purchase requisitions and orders, sharing the same with vendors;
7. Ensure timely delivery of goods and services in good condition to the required site / department POC by following up with vendors;
8. Handle back-end documentation like GRN creation and verification of delivery notes containing the signature / stamp of the receiving person;
9. Coordinate with accounts and finance to ensure smooth payment workflow and timely payments to vendors as per the agreed terms and conditions.

Requirements:

1. Relevant educational qualifications in fields like engineering, commerce, and logistics;
2. A valid UAE driving license is desirable;
3. Minimum of 2 years UAE work experience in relevant roles in inventory management, warehouse management, or facilities management;
4. Knowledge of accounting software for purchase requisitions / purchase orders creation, GRN creation, etc., such as Sage, BPM, Coupa, Microsoft Dynamics AX;
5. Experience using inventory management software or modules like Facilio, Zoho, Oracle;
6. Good communication skills to convey requirements clearly to suppliers and internal stakeholders;
7. Ability to evaluate urgency and work out contingency plans for urgent requirements;
8. Self-driven to understand the exact requirements of end users;
9. Process-oriented to comply with all company-wide policies and processes;
10. Attention to detail to ensure quality/specifications are met and documented appropriately;
11. Willingness to support the team in times of contingency or crisis.
