Position Title: Media Operations Executive.

Location: Dubai

Reports To: Buying Director

Position Overview

GroupM MENA has established an independent Unit to create a centre of excellence with clearly defined objectives and procedures. This Unit is independent from the agencies and reports directly to GroupM MENA. The media operations function remains in Dubai while other functions have been offshored to Finance Plus India.

Key Responsibilities:

1. Campaign booking and activation/launch; media plan entry in the system.
2. Generation of Booking Orders.
3. Requesting material specs from vendors and preparing the MRF.
4. Sending booking to vendors and coordinating to ensure that bookings and materials are confirmed.
5. TV monitoring through STATEX and other software.
6. Requesting proof of ad from vendors, tear sheets, hard copies, etc.
7. Performing 3-Way matching process to validate the receipt of the services.
8. Actualization in the system as per actual deliveries and vendor invoices.
9. Coordination with Finance team for vouching and billing.
10. Coordination with media planners and vendors for invoice and booking discrepancies, overspends, underspends.
11. Reconciliation of PO balances double-checking in coordination with Finance team and planners.
12. Answering Finance queries regarding unreconciled invoices and other queries.
13. Spends reports as requested by planners or trading.
14. Sharing details of previous campaigns, creatives, and all other data requested by the agency.
15. Responding to any audit queries.

Minimum Requirements:

1. 1 to 2 years previous relevant media industry experience required within an international organization.
2. Previous experience in media functions is preferred.
3. Confidence in dealing with and building relationships both internally and externally.
4. Excellent written and oral communication skills.
5. Strong Excel experience, preferably to pivot table, macro level.
6. High level of accuracy and attention to detail.
7. Well organized with strength in prioritizing.
