Responsible for obtaining employees’ work & residence permits by liaising with Government entities detailed here but not limited to MOHRE, Immigration, DM, DED, EIDA, CD, RERA - digitally and visiting the authorities
Job Description
Collate passport, photograph, salary details and other required documents of new Employees from the HR for MOL/VISA application.
Coordinate with HR and employees (if required) during the process of visa application and ensure the process is seamless from visa medicals, Tawjeeh up until the visa stamping is done and Emirates ID is received.
Keeping a record (scanned copy) of Signed MOL Job Offer, EID, PP, Visa page, Photograph in the respective employee folder in the shared drive
Keeping track of document expiry in a master file (excel or ERP) and follow up with HR on renewal process
Visa medicals typing and scheduled in line with operational feasibility
Follow Up with HR on receiving the relevant documents after the visa medical
Continue the process until visa stamping is done and renewed EID is received
Furnish the renewed/updated documents to HR Assistant to update employee record in the ERP system.
Securing receipts for all transactions and submitting the expense claim to the Finance department, as per their requirement
Keeping HR informed on cost variations/fines in the labour & visa spend, depending on categorization of the Company
Any blacklist, Nawakas etc to be cleared. You will have to provide with the list of required documents to Line Manager for clearing any such case
You will be required to visit the concerned Govt entity to clear any cases
Absconding and out of country cases to be handled with utmost importance
Always update the visa quota details to Line Manager and keep a forecast of the manpower requirement to update quota requirements accordingly.
Reports:
Prepare and submit monthly MOL reports on renewals, cancellation, new visa applications and any employee transactions pertaining to any Govt entity.
Employee exit report and submitting to HR for filing
Any other reports relating to your job scope, whenever required
Other Task:
Prepare or validate letters in Arabic whenever required by any Government entities.
Submitting documents at E-migrate portal for overseas recruitment.
Emiratization – GPPSA registration.
