Job description

1. Coordinating Staff Deployments

Support and organize transport requirements to ensure availability of operational needs and ensure all processes are followed. Responsible for staff transport arrangements for both regular and special trips. Ensure all staff reach their respective locations on time, oversee and schedule the day-to-day activities of transportation employees, liaise with the operations team on all transport-related tasks for better service and value to the client, and identify any potential shortfalls. Find appropriate solutions for adhoc transportation/logistic issues.

2. Fleet Management

Coordinate the maintenance, repair, and upkeep of owned and rental vehicles while adhering to security and operational procedures. Manage vehicles with regards to day-to-day maintenance records, both mechanical and GPS systems. Observe vehicle maintenance costs. Develop, implement, and monitor processes and controls to ensure proper usage of vehicles to avoid personal usage. Collect and verify Rent-A-Car bills and ensure timely submission to finance for payment. Monitor open fuel card usage.

All accidental/incidental damages must be reported to the LINE Manager.

3. Team Management

Communicate effectively with all transportation employees. Manage conflict and provide supervision and guidance on day-to-day activities while identifying training needs for the team. Act as a liaison between the teams and the LINE Manager.

4. Operational Support

Plan the transport operation to deliver optimum quality, performance, and cost-effectiveness. Ensure a detailed plan is distributed among transportation employees. Accountable for preparing duty rosters for weekday/off-day shifts (Day and Night) based on client needs/requests to meet operational desires. Must be available on call 24/7 for deployment-related calls.

5. Special Projects & HSE

As assigned by the HOD/LINE Manager, drive the vehicle for urgent tasks. Conduct monthly inspections of assigned vehicles using a standardized checklist to ensure safety and roadworthiness. Attend HSE training based on requirements. Reduce fuel consumption through route optimization, proper vehicle maintenance, and safe driving practices. Adhere to traffic regulations and company policies.

6. Reporting / Administrative Support

Prepare and verify the time and attendance records of drivers and monthly inter-departmental reports. Assist the supervisor with transportation issues in their absence. Perform other duties as assigned by the supervisor or administrative staff that are consistent with general requirements.
