Job description

The Facilities Supervisor will oversee the operations and maintenance of assigned facilities, ensuring they function efficiently and comply with safety and operational standards. The role involves managing contractor relationships, resolving stakeholder concerns, and maintaining meticulous records. This position is pivotal in ensuring smooth daily operations and supporting the strategic objectives of the organization.

Key Accountabilities:

Complaint Management

  • Receive and document complaints from stakeholders, including warehouse staff, office employees, and clinic personnel.
  • Ensure timely resolution of complaints to maintain operational continuity and stakeholder satisfaction.

Maintenance and Contractor Coordination

  • Schedule and follow up with contractors for preventive maintenance (PPM) and repair works.
  • Supervise on-site activities performed by contractors and ensure compliance with company standards.

Record Keeping

  • Maintain detailed records of complaints, resolutions, maintenance schedules, and contractor activities.
  • Ensure accurate documentation of contracts and timely updates in the system.

Reporting

  • Prepare and submit regular reports to the Facilities Manager detailing maintenance activities, complaint resolutions, and contract status.
  • Highlight issues requiring escalation and propose actionable solutions.

Contract Management

  • Monitor the expiration dates of service contracts and ensure timely renewals.
  • Review and recommend necessary amendments to existing contracts to optimize cost and service quality.

Compliance and Safety

  • Ensure that all facility operations comply with UAE regulations and company policies.
  • Conduct periodic inspections to ensure safety standards are upheld across all facilities.

Qualification & Experience:

  • Diploma or ITI in Facility Management, Engineering, or a related field.
  • Facilities Management Professional (FMP) or equivalent.
  • Minimum 3-5 years of experience in facilities management or a similar supervisory role, preferably in the healthcare or pharmaceutical industry.
  • Experience managing multiple sites is highly preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and facility management software.
  • Knowledge of local regulations and best practices in facilities management.
