Job description

Job Summary:

This role involves coordinating maintenance, vendor management, space planning, and office services to provide a safe, functional, and efficient work environment. The ideal candidate will be highly organized, proactive, and capable of managing multiple tasks in a fast-paced corporate setting.

1. Facility Maintenance & Operations:

  1. Oversee day-to-day facility operations, ensuring a clean, safe, and well-maintained office environment.
  2. Coordinate routine maintenance, repairs, and inspections (HVAC, electrical, plumbing, lighting, etc.).
  3. Manage relationships with vendors, contractors, and service providers (cleaning, security, landscaping, etc.). Ensure compliance with health, safety, and environmental regulations.

2. Space & Move Management:

  1. Assist with office space planning, seating arrangements, and workspace optimization.
  2. Coordinate office moves, reconfigurations, and furniture installations.
  3. Maintain floor plans and asset inventories (furniture, equipment, etc.).

3. Administrative & Support Services:

  1. Handle facility-related requests and work orders in a timely manner.
  2. Manage office supplies, equipment, and inventory.
  3. Assist with meeting room setups, event coordination, and catering arrangements.
  4. Maintain facility records, contracts, and documentation.

4. Security & Emergency Preparedness:

  1. Support access control systems, key management, and security protocols.
  2. Assist in emergency response planning (fire drills, evacuation procedures, etc.).

5. Sustainability & Cost Control:

  1. Implement energy-saving and sustainability initiatives.
  2. Assist in budget tracking and cost-saving measures for facility operations.

Qualifications & Skills:

Education: Diploma/ Bachelors degree in Civil engineering

Experience: 4-5 years in facilities coordination, office management, or related role (corporate environment preferred).

Skills:

  1. Strong organizational and multitasking abilities.
  2. Excellent communication and vendor management skills.
  3. Proficiency in MS Office (Excel, Word, Outlook) and facility management software (e.g., CMMS).
  4. Basic knowledge of building systems and maintenance processes.

Work Environment:

Primarily office-based with occasional need to inspect facilities or meet vendors. May require occasional after-hours support for emergencies or projects.
