Job Description
Role & Responsibilities
Contract Management:
- Draft, review, and finalize export contracts in coordination with the sales and legal teams.
- Ensure all contracts comply with company policies and international trade regulations.
ERP System Management:
- Accurately post supply chain entries into the ERP system.
- Maintain up-to-date records of all transactions and ensure data integrity.
Invoice Generation and Dispatch:
- Generate invoices based on completed transactions.
- Dispatch invoices to respective buyers/brokers promptly and ensure receipt confirmation.
Trade Monitoring:
- Monitor the status of all trades from the contract stage to funds received.
- Track shipment schedules, delivery status, and payment milestones.
- Communicate with logistics providers, buyers, and brokers to ensure smooth operations.
Documentation and Compliance:
- Prepare and manage all necessary export documentation, including bills of lading, certificates of origin, and customs declarations.
- Ensure compliance with international trade laws and regulations.
Coordination and Communication:
- Act as a liaison between the sales team, logistics providers, and customers.
- Provide regular updates to management on the status of ongoing trades and any issues encountered.
Problem Resolution:
- Address and resolve any issues related to export documentation, shipment delays, or payment discrepancies.
- Work collaboratively with internal and external stakeholders to find solutions.
Reporting:
- Generate regular reports on trade activities, including sales performance, shipment status, and payment collections.
- Provide insights and recommendations for process improvements.
Preferred Candidate Profile
Qualifications:
- Education: Bachelor's degree in Business Administration, International Trade, Logistics, or a related field.
- Experience: MUST have a minimum of 5 years of experience in export documentation & sales coordination in a reputable MNC.
- Skills:
- Strong understanding of international trade regulations and export documentation requirements.
- Proficiency in ERP systems and Microsoft Office Suite.
- Excellent organizational and time management skills.
- Must be able to work independently.
- Strong attention to detail and accuracy.
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Problem-solving skills and the ability to handle multiple tasks simultaneously.
- Minimal supervision.
