Job description

We are seeking a dynamic and organized Receptionist cum Executive Secretary to join our team at a leading group of companies specializing in Media and Events. The ideal candidate will be the first point of contact for visitors and clients while providing administrative support to ensure smooth operations.

Key Responsibilities

Executive Secretary to CEO:

  • Calendar Management: Organize and maintain the CEO's calendar, schedule appointments, meetings, and travel arrangements.
  • Correspondence Handling: Manage and prioritize incoming emails, phone calls, and other communications on behalf of the CEO.
  • Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for meetings with internal and external stakeholders.
  • Document Preparation: Draft, proofread, and edit reports, presentations, and other official documents for the CEO.
  • Travel Arrangements: Plan and book business travel, including flights, accommodations, and transportation for the CEO.
  • Confidentiality Management: Handle confidential and sensitive information with discretion and professionalism.
  • Project Assistance: Assist with research, special projects, and provide general administrative support to the CEO.

Receptionist:

  • Front Desk Management: Greet visitors, answer phone calls, and direct inquiries to the appropriate personnel.
  • Visitor Coordination: Ensure proper visitor check-in, provide guest badges, and notify relevant staff of visitors' arrival.
  • Mail and Package Handling: Sort and distribute incoming mail, packages, and deliveries.
  • Office Supplies Management: Monitor and maintain office supplies inventory, ordering replacements as necessary.
  • General Office Support: Assist with filing, data entry, and maintaining the cleanliness and organization of the office reception area.

Qualifications:

  • Proven experience in a similar role (preferably in Media/Events)
  • Strong communication and organizational skills
  • Proficiency in MS Office and office management software
  • Excellent time management and multitasking abilities

Ability to commute/relocate:

  • Abu Dhabi: Reliably commute or planning to relocate before starting work (Required)

Experience:

  • Receptionist/Secretary: 5 years (Preferred)

Language:

  • Arabic (Required)
