Job description

The Executive HR Employee Relations role aims to cultivate a positive workplace by managing relationships between the organization and employees. It focuses on addressing concerns, ensuring policy consistency, and fostering a healthy organizational culture. The goal is to enhance employee engagement, resolve conflicts, and contribute to a harmonious work environment, ultimately boosting organizational performance and satisfaction.

The role includes but is not limited to:

Objectives:

  1. Enable staff access to the MADAD Portal and guide them in raising MADAD Tickets
  2. Respond to staff tickets promptly and update stakeholders on ticket resolution progress
  3. Resolve login issues for frontline staff on the Support Portal
  4. Conduct onboarding and refresher training to promote grievance system utilization
  5. Address grievances reported by employees within designated timelines

Operational Excellence:

  1. Conduct fair investigations into grievances and prepare detailed reports when necessary
  2. Implement corrective actions for employees as necessary
  3. Escalate grievances to HR Manager as needed
  4. Coordinate with Line Managers and Department Heads to oversee frontline employee progression
  5. Monitor frontline employee transfers and demobilization
  6. Develop and maintain a database for tracking grievances and resolutions
  7. Collaborate with relevant departments to ensure the implementation of preventive measures based on grievance trends
  8. Organize regular feedback sessions with employees to assess the effectiveness of grievance resolution processes
  9. Ensure demobilized frontline employees are mobilized within the defined SLAs
  10. Conduct exit interviews for resigning employees and handle visa cancellations and air ticket arrangements
  11. Manage all employee exits smoothly
  12. Conduct HR visits, including Tea and Talk and Happy Hour Visits
  13. Coordinate with project managers to ensure proper allocation of resources based on project requirements
  14. Facilitate cross-functional training programs to enhance employee skills and knowledge transfer

Audits and Compliance:

  1. Track grievances reported during HR visits and communicate findings to stakeholders
  2. Ensure timely closure of grievances raised during HR visits
  3. Audit accommodation arrangements for compliance with company standards
  4. Conduct regular compliance audits to ensure adherence to labor laws and regulations
  5. Develop and implement policies and procedures to address compliance gaps identified during audits
  6. Provide training and support to employees and managers on compliance-related matters

Desired Candidate Profile

Education:

  1. Minimum bachelor’s degree in HR, or relevant business qualification

Experience:

  1. Minimum 1 - 3 years in a similar role, preferably within an FM or engineering industry

Knowledge & Key Skills:

  1. Provide a high level of customer service to both internal and external stakeholders
  2. Prompt response to queries in writing or by telephone
  3. Maintain and ensure implementation of all HR-related paperwork and filing
  4. Takes ownership of issues and seeks equitable and creative solutions to problems
  5. Excellent knowledge of MS Office
  6. Fluent English language ability both spoken and written
  7. Familiarity with the HR Support Portals and ticketing system
  8. Ability to effectively address and resolve workplace conflicts
  9. Strong verbal and written communication skills
  10. Skill in negotiating and mediating between parties
  11. Understanding and empathizing with employees' concerns
  12. Understanding and adherence to labor laws and regulations
  13. Various Conflict Resolution Techniques and Familiarity with HR Systems, Including Grievance Tools
  14. Knowledge of Employee Exit Processes and Documentation
