Position Overview

Ensuring timely dispatch and delivery of shipments from the warehouse by verifying items. Ensuring efficient dispatching processes and promptly resolving any problems or discrepancies.

Detailed Job Description

Sorting Shipments

  • Taking the hand over from the Warehouse receiving officer and scanning all the shipments to update the status in the Shipsy portal.
  • Ensuring that multiple part shipments are taped together before allocating to the delivery associates.
  • Sorting shipments emirate and zone wise and keeping in the respective bays for Delivery Associates.
  • Scanning the pending shipments in the inventory and sharing the reports with the Operations Team.

Receiving Shipment

  • Receiving shipments in the warehouse from First Mile Delivery associates who have picked up the items from client s location.
  • Scanning the received items for updating status in the Shipsy portal.
  • Sending the scanned shipments to the sorting station for segregation.
  • Placing and storing items in the proper designated areas with proper identification codes.
  • Inspecting the received items with accuracy and reporting any problem or discrepancy.
  • Preparing, maintaining, and sharing the Delivery Run Sheet (DRS) with Operations Team.

Dispatching Shipments

  • Preparing the delivery run sheet and handing over to the security officer along with the shipments for dispatch (Morning Dispatch officer).
  • Ensuring items are picked correctly from the respective bays by the Delivery Associates within the stipulated timeframe.
  • Notifying Operations team in case of any discrepancy and ensuring it is corrected in the portal before dispatching.

Ensuring Operational Excellence

  • Daily reconciliation of shipments as assigned to delivery associates ensuring zero discrepancy.
  • Ensuring the daily receiving process is completed in accordance with the Standard Operating Procedure.

Managing Undelivered Shipments

  • Receiving the undelivered shipments and segregating them as no response, rescheduled and cancelled orders and updating the status in the Shipsy portal.
  • In case of 3 unsuccessful delivery attempts - Sending the rescheduled, SLA breached and no response shipments to inventory for merchant wise sorting. Changing the status to RTO in the Shipsy portal and return to the client.
  • In case of less than 3 delivery attempts Sending the items to the sorting stations for dispatching.
  • Ensuring the documentation is complete by filing in the client acknowledged RTO copy.

Operational Efficiency

  • Ensuring the daily dispatch process is completed in accordance with the Standard Operating Procedures.

Qualifications

Job Requirements / Desired skills set

  • High school/Matriculation
  • Minimum 2 - 4 years proven work experience as warehouse officer.
  • Ability to interact with the drivers and communicate instructions over the phone
  • Must be proficient in MS excel and other MS office automation tools
  • Strong communication and interpersonal skills to communicate with all levels of staff
  • Good knowledge about the routes and areas in UAE
