Job Overview:

Emirates Talent Solution is looking for a proactive and highly organized Executive Assistant / Secretary to support senior management in a leading company within the Signage & Outdoor Media industry. The ideal candidate will have excellent communication skills, a strong background in administrative support, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities:

  1. Administrative Support:
  2. Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and handling correspondence.
  3. Prepare reports, presentations, and documents as required.
  4. Organize and maintain files, records, and office systems.
  5. Communication & Coordination:
  6. Act as the first point of contact for internal and external stakeholders, managing communication on behalf of senior management.
  7. Coordinate travel arrangements, including flights, accommodation, and itineraries.
  8. Facilitate communication between departments and ensure smooth information flow.
  9. Meeting & Event Management:
  10. Plan, organize, and coordinate meetings, conferences, and company events.
  11. Prepare agendas, take minutes, and follow up on action items.
  12. Ensure all necessary materials and arrangements are prepared for meetings.
  13. Confidentiality & Discretion:
  14. Handle sensitive and confidential information with the utmost discretion.
  15. Manage confidential files and ensure data security.
  16. Office Management:
  17. Oversee office supplies and equipment management.
  18. Assist in the implementation of office policies and procedures.
  19. Support the HR department with onboarding and administrative tasks as needed.

Qualifications:

  1. Bachelor's degree or equivalent experience in Business Administration, Secretarial Studies, or a related field.
  2. Minimum of 5-7 years of experience as an Executive Secretary, Personal Assistant, or similar role.
  3. Strong organizational and multitasking skills.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  5. Excellent written and verbal communication skills in English; knowledge of Arabic is a plus.
  6. Ability to work independently and prioritize tasks effectively.
  7. High level of professionalism and attention to detail.
  8. Experience in the signage and outdoor media industry is an advantage.

Pay: AED3,000.00 - AED6,000.00 per month

  1. Signage Industrial: 5 years (Preferred)

Language:

  1. English (Preferred)
  2. Urdu/Hindi (Preferred)
