Job Description: Executive Assistant to the General Manager

We are seeking a highly organized, proactive, and professional Executive Assistant to support our General Manager (GM). This role requires exceptional multitasking abilities, attention to detail, and strong communication skills to help manage the day-to-day responsibilities of the GM and ensure seamless operations.

Key Responsibilities:

  • Administrative Support: Manage the GM's calendar, schedule meetings, and coordinate appointments.
    Handle correspondence, including emails, phone calls, and memos on behalf of the GM.
    Prepare reports, presentations, and documents as required.
  • Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes.
    Attend meetings with the GM, take detailed notes, and follow up on action items.
  • Travel Management: Arrange travel plans, itineraries, and accommodations for the GM.
    Ensure seamless travel experiences with timely updates and documentation.
  • Project Coordination: Support the GM in planning, tracking, and executing projects.
    Collaborate with internal teams to ensure deadlines and objectives are met.
  • Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality.
    Act as a trusted liaison between the GM and internal/external stakeholders.
  • Communication: Serve as the primary point of contact for the GM, screening inquiries and prioritizing requests.
    Communicate professionally and effectively on behalf of the GM.
  • Office and Team Support: Assist in organizing company events, meetings, and other team initiatives.
    Maintain an organized filing system for documentation and records.

Qualifications:

  • Bachelor’s degree in Business Administration or a related field (preferred).
  • Proven experience as an Executive Assistant or in a similar role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
  • High level of discretion and professionalism.
