We are looking for the right candidate to work alongside our team, Chairman, and the CEO in our Dubai Office. Based in Dubai, UAE, you will need to live within easy reach of Al Barari.

As an Executive Assistant & Project Manager, you will manage office operations while managing projects as required. To succeed in this role, you must thrive in a fast-paced entrepreneurial environment, balancing multiple responsibilities with efficiency and adaptability.

Your key responsibilities will include:

  1. Coordinating tasks across multiple projects.
  2. Ensuring day-to-day operations run smoothly.
  3. Liaising with the teams based in the UK and US.

Strong organisational skills, adaptability, and the ability to manage priorities effectively are essential. A flexible approach to tasks and excellent project coordination skills are also critical.

Summary

Experience working in an entrepreneurial environment is advantageous. You must have a proactive, can-do attitude and work well under pressure. Discretion and trustworthiness are essential.

You’ll play a key role in project planning, coordination, and execution, ensuring that all projects are delivered on time and meet the team’s expectations. Adaptability, flexibility, and the ability to manage shifting timelines and priorities are critical.

Key Responsibilities

  1. Communication Management: Manage communication effectively, especially with a UK & USA based team.
  2. Project Coordination: Manage various ongoing projects, ensuring that timelines, deliverables, and milestones are met. This includes tracking progress, coordinating with internal and external teams, and handling day-to-day project-related tasks.
  3. Stakeholder Management: Liaise with various stakeholders (including global teams, clients, and business partners) to ensure smooth communication and progress on key projects.
  4. Travel and Logistics: Work with the team to arrange travel, transport, and accommodation, coordinating itineraries for both local and international engagements.
  5. Task and Workflow Management: Assist in setting up systems and processes to streamline daily operations and projects. Manage task lists, prioritise activities, and ensure nothing falls through the cracks. Experience using Asana, Trello, Monday or similar tools is advantageous.
  6. General Assistance: Support with daily tasks and personal errands for the Chairman and his wife.
  7. Process Improvement: Continuously identify areas where operational efficiency and project management processes can be improved and implement changes to optimise workflows.

Requirements

  • Must have project management experience, particularly in fast-paced environments.
  • Proven experience providing personal assistance.
  • Confident communication skills, with English as your first written and spoken language.
  • Strong knowledge of Google Workspace and other software tools used for project management and collaboration.
  • Experience working with Apple / Mac products.
  • Exceptional organisational abilities and attention to detail.
  • Comfortable with a flexible working approach.
