Executive Assistant / Office Manager

Location: Abu Dhabi, UAE

Role Overview:

We are seeking a highly organized and proactive Executive Assistant / Office Manager to support senior leadership and manage daily office operations. This role requires a professional who can handle executive-level administrative tasks, coordinate office functions efficiently, and act as a key point of contact for internal and external stakeholders.

The ideal candidate must be immediately available and fluent in Arabic and English, with excellent communication and organizational skills.

Key Responsibilities:

Executive Support:

  • Provide high-level administrative support to senior executives, managing calendars, scheduling meetings, and preparing agendas.
  • Handle confidential documents and communications with discretion and professionalism.
  • Arrange travel itineraries, accommodations, and visa processing as required.
  • Prepare reports, presentations, and correspondence on behalf of the leadership team.
  • Act as the liaison between executives and internal/external stakeholders.

Office Management:

  • Oversee the smooth day-to-day operations of the office, ensuring a well-organized and efficient work environment.
  • Manage office supplies, equipment, and facilities, coordinating with vendors as needed.
  • Supervise administrative staff and provide guidance on office policies and procedures.
  • Ensure compliance with company policies, health & safety regulations, and local labor laws.
  • Handle budgeting, invoicing, and procurement for office-related expenses.

Stakeholder & Communication Management:

  • Serve as a key contact point for executive inquiries, maintaining professionalism in interactions with senior stakeholders.
  • Assist in the preparation of internal and external communications, ensuring clarity and accuracy.
  • Organize company events, conferences, and meetings.

Key Requirements:

  • Immediate availability is essential.
  • Fluent Arabic & English (spoken and written).
  • Proven experience (5+ years) as an Executive Assistant or Office Manager supporting senior leadership.
  • Strong organizational and multitasking skills, with high attention to detail.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Strong interpersonal and communication skills.
  • Experience in handling office administration, procurement, and facilities management.

Preferred Qualifications:

  • Previous experience in a multinational or corporate environment.
  • Understanding of UAE labor laws and administrative procedures.
  • Bachelor’s degree in Business Administration, Management, or a related field.
