Role Overview:
We are seeking a highly organized and proactive Executive Assistant / Office Manager to support senior leadership and manage daily office operations. This role requires a professional who can handle executive-level administrative tasks, coordinate office functions efficiently, and act as a key point of contact for internal and external stakeholders.
The ideal candidate must be immediately available and fluent in Arabic and English, with excellent communication and organizational skills.
Key Responsibilities:
Executive Support:
- Provide high-level administrative support to senior executives, managing calendars, scheduling meetings, and preparing agendas.
- Handle confidential documents and communications with discretion and professionalism.
- Arrange travel itineraries, accommodations, and visa processing as required.
- Prepare reports, presentations, and correspondence on behalf of the leadership team.
- Act as the liaison between executives and internal/external stakeholders.
Office Management:
- Oversee the smooth day-to-day operations of the office, ensuring a well-organized and efficient work environment.
- Manage office supplies, equipment, and facilities, coordinating with vendors as needed.
- Supervise administrative staff and provide guidance on office policies and procedures.
- Ensure compliance with company policies, health & safety regulations, and local labor laws.
- Handle budgeting, invoicing, and procurement for office-related expenses.
Stakeholder & Communication Management:
- Serve as a key contact point for executive inquiries, maintaining professionalism in interactions with senior stakeholders.
- Assist in the preparation of internal and external communications, ensuring clarity and accuracy.
- Organize company events, conferences, and meetings.
Key Requirements:
- Immediate availability is essential.
- Fluent Arabic & English (spoken and written).
- Proven experience (5+ years) as an Executive Assistant or Office Manager supporting senior leadership.
- Strong organizational and multitasking skills, with high attention to detail.
- Ability to handle sensitive information with confidentiality and professionalism.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Strong interpersonal and communication skills.
- Experience in handling office administration, procurement, and facilities management.
Preferred Qualifications:
- Previous experience in a multinational or corporate environment.
- Understanding of UAE labor laws and administrative procedures.
- Bachelor’s degree in Business Administration, Management, or a related field.
