Are you a highly experienced Executive Assistant looking for a dynamic role where you can make a real impact? Do you thrive in a fast-paced environment, managing high-level tasks with precision and efficiency? If so, we want to hear from you!

Our client is a leading independent conference production company specializing in the power sector. They are gearing up for the launch of their Middle East event (October 2025) and scaling their EU event (March 2026), and they need an exceptional EA to support their CEO and a team of freelancers and agency staff for the next 12 months.

What you will be doing:

  • Providing high-level administrative support to the CEO
  • Managing communications, schedules, and critical deadlines
  • Coordinating with suppliers and customers across ME & EU regions
  • Occasionally traveling for in-person meetings and event preparations
  • Handling multiple priorities while maintaining exceptional attention to detail
The Role Involves:

  • Bookkeeping - monthly recording of costs and revenues, generating customer invoices, carrying out credit control to ensure payments are made to deadline
  • Appointment Setting - cold-calling to schedule research and sales calls for the CEO, initiating through email, chasing and closing by phone
  • Supplier Sourcing - carrying out a thorough search for new suppliers in new event locations, benchmarking and presenting the most appropriate options, negotiating terms and fees, onboarding
  • Campaign Tracking - overseeing event promotion campaigns, ensuring that key activity is carried out on time and within budget, recording activity and results, reporting campaign progress
  • Event Logistics - supporting the coordination of event logistics by liaising with suppliers, speakers, sponsors, and delegates to ensure a smooth onsite experience
  • Customer Service - fielding the customer service inbox and taking calls relating to upcoming events, assisting with the registration process, carrying out invoice amendments, answering VAT questions
Requirements for the role:

  • Currently based in Dubai, UAE
  • Substantial experience as an EA in UAE
  • Degree in any subject
  • Excellent proficiency in English, both written and verbal
  • A proactive problem solver who takes ownership and drives action
  • Meticulous administration skills
  • Action and results oriented
  • A high-energy, fast-paced professional with a keen eye for detail
  • Able to prioritise and manage time to maximise productivity
  • Cheerful demeanour and enthusiastic attitude toward work, customers, co-workers, and results
Contract Duration: 12 months (with the potential for extension)
