Job Summary
Provide high level quality administrative support to the Regional Chief Risk Officer for Middle East, Pakistan, and Africa.
Key Responsibilities
Responsible to ensure smooth operations for the Middle East, Pakistan, and Africa office which includes:
- Proactively manage Regional Chief Risk Officer appointments, emails, travel, correspondence and preparation for all meetings.
- Prepare and manage communications: emails, letters, internal and external telephone calls, memos and faxes, in a timely and professional manner.
- Effective management, prioritisation and routing of verbal and written enquiries, multitasking under pressure whilst remaining calm and professional at all times.
- Appropriate, clear, accurate and timely communication with all levels of staff. Actively engage with the Risk Management team. Ensure that all relevant information/memos to the Regional Chief Risk Officer are accurately cascaded to relevant team members.
- Resolve complaints and deal with issues highlighted by the Regional Chief Risk Officer.
- Plan and coordinate the induction for new team members who report to the Regional Chief Risk Officer. Arrange for logistics for the new joiner like Bank ID’s, Information Technology (IT) requirements, etc.
- Anticipate future (communication) requirements and use initiative to minimise the impact of this unforeseen work.
- Administer all relevant system transactions on behalf of the Regional Chief Risk Officer, as his delegated authority (including Travel & Expense, PeopleSoft, e-Procurement and Information Technology Issue Tickets).
- Ensure archives and files are maintained in effective formats.
- Assist with the smooth running of the Regional Chief Risk Officer office and ensure premises and Information Technology (IT) issues are promptly addressed.
- Effectively maintain and manage all office and filing systems and ensure that the office is well kept.
- Work without supervision, with minimal guidance whenever necessary.
- Assist in delivering various ad-hoc projects for the Regional Chief Risk Officer (as required) to time, quality and budget.
Financial and resource management administrative support
Required
Coordinate and support the Regional Chief Risk Officer budget and headcount tracking, and cost centre management as required, to deliver greater transparency on headcount and costs, including:
- Timely and accurate verification and processing of invoices and expense claims. Manage and drive down costs on items like transport, travel, stationery and telephones. Prompt escalation of issues to the Regional Chief Risk Officer.
- Complete detailed objectives spot checks.
- Monitor Growth Plans completion rates and quality standards, sharing results with the Regional Chief Risk Officer.
- Monitor Leave plans and ensure block leave is planned and taken by team members.
- Drive My voice completion rates and coordinate planning session arrangements.
Skills and Experience

- Strong understanding of key stakeholders and their relationship to managers role.
- Effective communication with and management of key stakeholders, both internal and external, building trust and positive relationships to exceed expectations.
- Effective partnering with other Personal Assistants (PAs) in country, region and the broader network, to share knowledge and expertise, and resolve issues.
