Job description

Job Responsibilities

  1. Calendar Management: Coordinate and manage the executive’s schedule, including arranging meetings, appointments, and travel itineraries. Prioritize and resolve scheduling conflicts efficiently.
  2. Communication: Act as the primary point of contact for internal and external communications on behalf of the executive. Draft, review, and send communications on behalf of the executive, including emails, letters, and reports. Handle confidential and sensitive information with discretion.
  3. Meeting Coordination: Organize and prepare for meetings, including gathering necessary documents, setting up conference calls, and preparing agendas. Take meeting minutes and follow up on action items as required.
  4. Travel Arrangements: Arrange complex travel itineraries, including flights, accommodations, transportation, and visas. Prepare detailed travel itineraries and ensure all necessary travel documents are in order.
  5. Administrative Support: Handle administrative tasks such as filing, scanning, and maintaining records. Prepare expense reports and manage reimbursements. Assist with special projects and research as needed.
  6. Event Planning: Coordinate events and conferences, including booking venues, arranging catering, and managing guest lists.
