Job DescriptionThe Executive Assistant plays a vital role in supporting C-level executives by providing personalized assistance that enhances their productivity and efficiency. This includes meticulously managing their calendars, scheduling appointments, and ensuring that their time is utilized effectively. The Executive Assistant acts as a trusted partner, anticipating the needs of the executives and coordinating various engagements to streamline their activities.
How You Will Contribute And What You Will LearnThe Executive Assistant is responsible for personal assistance to C-level, which includes proper care taking of calendar and time management.
- Seeks, updates and provides information, screens incoming calls and correspondence, prioritizes and responds as appropriate.
- Organizes meetings, meeting facilities and takes care of the follow-up activities (e.g. distributes meeting minutes and presentation materials).
- Plans and arranges (complex) travel itineraries, schedules and processes expenses.
- Checks and may approve cost center/function invoices. Provides support in producing presentation materials.
- Arranges various external and internal events. Informs other team/department members about mutual matters.
- Uses experience to develop and improve quality in processes and methods where appropriate.
- Seeks, updates and provides information through different channels, networking with other executive offices and coordinating high-level meetings with customers and stakeholders.
- Interacts and coordinates with members of the leadership team and S&C management team.
- Researches and compiles special reports, presentations, organization charts, etc.
- Arranges business-critical internal/external events.
Key Skills And Experience- Ability to handle information with discretion and confidentiality.
- Fluent in English language skills (written and verbal).
- Ability to create various forms of communication.
- Excellent skills in planning and organizing, comfortable dealing with complex calendars over multiple time zones.
- Can prioritize workload in a complex and fast-paced environment.
- Strong organizational skills and attention to detail and quality.
- Excellent communication, documentation, time management, and problem-solving skills.
- Familiarity with Office 365 tools, MS Teams, Concur, SRM, and Taleo.
- Ability to multi-task in a fast-paced environment, prioritizing critical tasks and following up on less critical tasks later.
- Able to work independently, as well as a team player, and is highly organized.
- Maintain high level of confidentiality and discretion.
- Holds a degree (AA, AS, BA, BS) in business or equivalent demonstrated experience.
- Relevant experience of 2 years in an administration/EA capacity providing executive support.
