About The Role

We are looking for a responsible and dynamic Executive Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on various tasks as required by the Regional manager.

Your focus will be mainly on supporting the regional manager and liaising with key stakeholders such as the executive leadership team (ELT), the regional management team, and colleagues at all levels. The nature of some of the tasks can be urgent and confidential. It will assist on specific special projects to ensure that the timeline is met by the team and support with resources and coordinate on what’s needed.

Key Accountabilities

The position offers opportunities for development as it encompasses many different tasks and responsibilities. Some of the key accountabilities are described below:

  • Acting as the point of contact between the Regional Manager and the team (internal) as well as external customers/partners/authorities
  • Handling requests and queries appropriately, including taking messages and following up on different issues
  • Making appointments and arranging meetings, following up on the Regional Manager’s program to ensure a smooth daily plan (no overlaps), and allowing flexibility.
  • Receiving visitors (including VIPs) and dealing with their hotel bookings and travel arrangements, where necessary.
  • Maintaining and planning annual calendar events and leave plans.
  • Organizing and facilitating internal events (conferences/seminars/workshops), including social gatherings.
  • Supporting members of the Regional Management team in booking travel arrangements (flights, accommodation, transportation), where needed.
  • Organizing and participating in management meetings, being responsible for keeping minutes of meetings, recording action points and following up to ensure completion of tasks, as appropriate.

About You

  • Bachelor’s degree in any field. Any related diploma or certification would be considered an advantage.
  • At least five (5) years of work experience as an Executive/Personal Assistant supporting a senior/experienced professional.
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office. Knowledge of DNV systems/tools would be of advantage, i.e., Basware, Time Sheet & Expenses (Oracle Finance)
  • Fluent in English, both written and verbal.
  • Exceptional organizational and time management skills
  • Excellent communication skills (written and verbal)
  • Understanding of handling issues with discretion and confidentiality.
  • Ability to multitask and prioritize daily workload to excel in a fast-paced environment and changing priorities
  • Proactive and adaptive approach with a customer focus mindset
