Job description
Job Responsibilities:
Manage calendars, schedule meetings, and coordinate travel arrangements for executives.
Prepare correspondence, reports, and presentations.
Screen phone calls and manage emails, responding as appropriate or directing inquiries to the appropriate person.
Information Management:
Maintain and update contact lists, organizational charts, and databases.
Handle confidential information with discretion and sensitivity.
Communication Coordination:
Act as a liaison between executives and internal/external stakeholders.
Draft communications and prepare meeting agendas and minutes.
Project Coordination:
Assist with project planning and coordination as needed.
Track deadlines and deliverables to ensure timely completion.
Office Management:
Oversee office supplies and equipment; coordinate maintenance and repairs.
Assist with onboarding new employees and provide support as needed.
Qualifications:
Proven experience as an Executive Assistant or similar administrative role.
Proficient in MS Office (MS Excel and MS PowerPoint, in particular).
Excellent organizational and time-management skills.
Outstanding communication and interpersonal abilities.
Discretion and confidentiality.
Preferred Skills:
Experience with calendar management and scheduling software (e.g., Outlook, Google Calendar).
Familiarity with project management tools (e.g., Asana, Trello).
Ability to anticipate needs and proactively solve problems.
