Job description

Job Responsibilities:

  • Manage calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Prepare correspondence, reports, and presentations.
  • Screen phone calls and manage emails, responding as appropriate or directing inquiries to the appropriate person.

Information Management:

  • Maintain and update contact lists, organizational charts, and databases.
  • Handle confidential information with discretion and sensitivity.

Communication Coordination:

  • Act as a liaison between executives and internal/external stakeholders.
  • Draft communications and prepare meeting agendas and minutes.

Project Coordination:

  • Assist with project planning and coordination as needed.
  • Track deadlines and deliverables to ensure timely completion.

Office Management:

  • Oversee office supplies and equipment; coordinate maintenance and repairs.
  • Assist with onboarding new employees and provide support as needed.

Qualifications:

  • Proven experience as an Executive Assistant or similar administrative role.
  • Proficient in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent organizational and time-management skills.
  • Outstanding communication and interpersonal abilities.
  • Discretion and confidentiality.

Preferred Skills:

  • Experience with calendar management and scheduling software (e.g., Outlook, Google Calendar).
  • Familiarity with project management tools (e.g., Asana, Trello).
  • Ability to anticipate needs and proactively solve problems.
