We're seeking a bilingual professional fluent in English and Arabic, both written and spoken at a business level, to deliver efficient secretarial and administrative support.
Key Responsibilities
Ensure complete confidentiality of Company and Client information.
Manage the diary to ensure optimal use of available time and handle continuous changes and schedule conflicts.
Attend meetings and ensure accurate and detailed minutes are taken to provide a full reference of the discussions and actions.
Attend meetings on behalf of the individual (internal and external) to take accurate minutes and report outcomes.
Arrange travel schedules and bookings to meet travel requirements.
Ensure proactive follow-up of outstanding actions to achieve deadlines.
Formal communication to relevant Client and Government offices in English and Arabic.
Consolidate and analyze data to create presentations on a weekly, monthly, and quarterly basis.
Organize employee and Client events within the approved budget as required.
Participate as required in special department projects and contribute to company-wide projects and emergency response situations.
Ensure all aspects of the office are operational and resolve any issues in a timely manner.
Experience and Skills Required
Minimum of at least 6 years of work experience as an Executive Assistant, with at least 3 years at senior management level, and at least 2 years of this experience gained in the UAE.
Knowledge of producing presentations to a professional level to be delivered to Board Members, Committees, Clients, Stakeholders, etc.
Knowledge of administration policies and processes.
Strong skills in MS Office: Word, Excel, PowerPoint.
Experience or qualifications in advanced visual applications (e.g., Adobe Professional) would be advantageous.
