Job description

To coordinate, plan, prepare, execute reports, and ensure student participation in the Events of the University.

Duties & Responsibilities of Individual

  • Create a sense of community between students and staff.
  • Ensure the safety of participants during the events at all times.
  • Ensure adequate staffing for events and schedule set-up, technical, stage, and other staff accordingly; supervise students and staff during events.
  • Develop faculty/student partnerships and create meaningful out-of-class student co-curricular learning opportunities.
  • Promote student involvement opportunities on campus through marketing, outreach, collaborative endeavors, and other publicity-driven initiatives.
  • Consult with supervisors and staff as needed.
  • Maintain contact with clients via telephone or written correspondence for University Events.
  • Represent the University in public relations/liaison capacity on matters relating to events and at Departmental meetings.
  • Maintain direct contact with personnel from various outside organizations and university departments associated with scheduled University events.
  • Facilitate event operations and respond to emergencies, problems, etc.; ensure all aspects of events are implemented and controlled according to plans.
  • Cooperate with other departments for official reports and data submission.
  • Interact with staff and students in a professional and ethical manner.
  • Participate in supervision and training with an openness to learning and receiving feedback.
  • Ensure that all student-related feedback is collected without delay and deadlines are communicated to students in a timely manner.
  • Submit reports as per requirements of the Organization.
  • Select Student Clubs & Committees and Chair of each Committee.
  • Follow policies & Procedures of the University.
  • Update the website.
  • Contribute to IE tools.
  • Respond to the requirements of:
  • Follow-ups.
  • Student satisfaction.
  • Pre-plan events as per defined process & formats for approval of HOD.
  • Coordinate budget with other departments.
  • Explore new avenues to increase revenues.
  • Report as per the standard format.
  • Perform any task initiated.
  • Prepare Daily/Weekly/Monthly reports.
  • Prepare Semester/Half-yearly/Yearly reports.
  • Other duties as deemed appropriate for this position.
  • Ability to plan, implement, evaluate, and report activities conducted.
  • Ability to communicate effectively in writing and prepare written and electronic documents.
  • Ability to communicate orally, both in person and by telephone.
  • Ability to establish rapport with others as a requisite for healthy and therapeutic relationships.
  • Ability to present oneself in an appropriately personable and professional manner to students and staff.
  • Ability to receive and utilize constructive feedback regarding performance, presentation, and relationships with others.
  • Ability to be both consistent and flexible as circumstances warrant.
  • Ability to effectively weigh and evaluate personal needs, client needs, and the aims and policies of the University and respond and negotiate these competing needs as appropriate.
  • Ability to remain calm and supportive in psychological emergencies and/or crises when provided with appropriate supervision and direction.
  • An enhanced level of self-awareness as to how one relates to others and an ability to effectively modulate personal style as conditions warrant.

Desired Candidate Profile

  • A Bachelor Degree from an accredited college or university.
  • 3 to 5 years of experience in the same field.
  • Professional or significant graduate school experience in coordinating or managing student activities or student organization services at a higher education institution. Some supervisory responsibility (of students) is preferred.
  • Verifiable experience in designing, coordinating, and evaluating educationally purposeful activities and leadership programs with relevant experience in event programming.
  • Demonstrated knowledge and experience advising student programs and implementing student organization support activities preferably at a major public university.
