We are looking to hire a Event Coordinator who will be responsible for providing comprehensive administrative and logistical support for marketing projects and on-ground activations for our government client based in Dubai – one of the largest companies in the region.
This position will have an initial duration of 8 months and is renewable annually.
The role sits within the Brand & Communications Department and reports directly to the Officer – Marketing & Partnerships.
We are looking for a passionate Event Coordinator with strong administrative and project coordination skills to support internal events, campaigns, and activations. You should also have experience in office administration, budgeting, vendor coordination, and a working knowledge of marketing events within an aviation or related setting.
Key Responsibilities:
- Support the planning and execution of internal activations, brand events, and partnership activities.
- Assist in procurement-related processes and maintain up-to-date budget utilization reports.
- Coordinate with suppliers, internal departments, and project teams for event logistics and on-ground support.
- Assist in the organization of key events such as Dubai Airshow 2025 and manage scheduling, stakeholder coordination, and reporting.
- Maintain records and documentation including reports, trackers, and archives for video production, activations, and financial transactions.
- Ensure compliance with HSSE guidelines and support on-site logistics during activations and installations.
- Provide administrative support including invoice follow-ups, permit coordination, and stock management.
Knowledge, Skills & Experience:
- Diploma or Higher Diploma in Business Administration or a related field.
- 2 to 3 years of relevant experience, preferably in events or aviation sectors.
- Proficiency in MS Office Suite – especially Excel, Word, and PowerPoint.
- Strong time-management, communication, and coordination skills.
- Familiarity with procurement and finance processes.
- Experience in inventory, distribution, or basic bookkeeping is a plus.
