Job Responsibilities
- Front Desk Operations: Greet clients, visitors, and vendors in a professional and friendly manner.
- Phone Management: Answer and direct incoming calls, take messages, and provide general information to clients.
- Appointment Scheduling: Manage calendars for real estate agents and schedule property viewings, meetings, and appointments.
- Client Support: Assist clients with inquiries about available properties, the buying or renting process, and other real estate services.
- Administrative Tasks: Perform general office duties, including data entry, document preparation, and file organization.
- Mail and Packages: Receive, sort, and distribute mail and packages; ensure proper handling of sensitive documents.
- Property Listings: Maintain accurate records of property listings, ensure up-to-date information is available for agents and clients.
- Coordinate Showings: Schedule property showings and coordinate logistics for real estate agents.
- Client Follow-Up: Send thank-you emails or follow-up messages to clients after meetings or property viewings.
- Maintain Office Supplies: Monitor and restock office supplies, ensuring the smooth operation of the office.
Desired Candidate Profile
- Previous experience in a receptionist or customer service role, preferably in the real estate industry.
- Excellent communication and interpersonal skills, both verbal and written.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of real estate terminology and processes is a plus.
- A professional appearance and demeanor.
- Ability to maintain confidentiality and handle sensitive information.
