Job Description
Oversee daily administrative operations, ensuring seamless workflow and effective communication across departments.
Coordinate office space management and logistics, optimizing resources for a productive work environment.
Serve as a primary point of contact for internal and external stakeholders, enhancing relationships through exceptional service.
Lead the development and maintenance of comprehensive administrative policies and procedures that align with corporate objectives.
Develop and maintain effective relationships with vendors and service providers, negotiating contracts to secure favorable terms for the organization.
Conduct regular assessments of administrative functions, identifying areas for improvement and driving change initiatives.
Coordinate office activities and operations to secure efficiency and compliance to company policies.
Keep the stock of office supplies and place orders when necessary.
Process invoices on behalf of the Manager/Head of Section in liaison with the procurement and finance team ensuring compliance with company procedures.
Coordinate with Travel Coordinators to make travel arrangements and hotel bookings for visitors and new hires.
Support local and international movement of assets and inventory.
Coordinate with courier services to ensure that documents/materials are collected, sent, and delivered in a timely and efficient manner.
Supervise administrative staff, managing rosters, and dividing responsibilities to ensure performance (Drivers/Office boys/Housekeeping staff).
Manage utilities and telephone payments.
Support HR department in arranging medical and EID formalities.
Facility Management & Fleet Management (Company owned and hired vehicles).
Organize and coordinate company events and meetings, fostering a collaborative atmosphere while ensuring all logistics are efficiently handled.
Prepare various documentation such as reports, presentations, memos, and e-mails as required by the Manager/Head of Section or team members to ensure that well written, consistent, accurate, and timely documentation originates from the Manager/Head of Section’s office.
Assist in the development of strategic plans, providing administrative insights that align with the organization’s long-term goals.
Mentor and develop administrative team members, fostering a culture of professional growth and accountability within the department.
Desired Candidate Profile
Bachelor’s degree in Business Administration or a related field; a Master’s degree is a plus for advanced leadership roles.
Minimum of 6 years of progressive experience in administrative roles, with at least 2 years in a supervisory capacity.
Experience in office management within a corporate or fast-paced environment, showcasing adaptability and problem-solving skills.
Fluency in English is mandatory; proficiency in additional languages is a competitive advantage.
Strong proficiency in Microsoft Office Suite, project management software, and other relevant digital tools.
Exceptional interpersonal skills, with the ability to influence and motivate diverse teams effectively.
Detail-oriented with excellent organizational skills, capable of managing multiple priorities with precision.
A proactive mindset with a strong ability to anticipate needs and drive initiatives that align with organizational goals.
