Job description

We are seeking a highly organized and client-focused Client Manager / Client Administrator to oversee client interactions, ensure seamless service delivery, and enhance the overall patient experience at our longevity clinic in Dubai. This role involves managing client relationships, coordinating appointments, handling administrative tasks, and ensuring a high standard of customer service.

Key Responsibilities:

Client Relationship Management:

  • Serve as the primary point of contact for clients, addressing inquiries, concerns, and service requests promptly.
  • Develop and maintain strong client relationships, ensuring high levels of satisfaction and loyalty.
  • Guide clients through their wellness journey, providing information on treatments, procedures, and ongoing care.

Appointment & Scheduling Management:

  • Manage client bookings, ensuring optimal scheduling of consultations, treatments, and follow-up appointments.
  • Coordinate with medical and wellness teams to streamline scheduling and avoid conflicts.
  • Send appointment reminders and follow up with clients to minimize cancellations and no-shows.

Administrative Support:

  • Maintain accurate client records, update databases, and ensure confidentiality of all client information.
  • Process payments, issue invoices, and handle financial transactions in coordination with the accounts department.
  • Assist in onboarding new clients, ensuring they complete necessary forms and understand clinic policies.

Operational & Service Excellence:

  • Ensure smooth day-to-day operations by liaising with different departments to fulfill client needs.
  • Address client feedback and complaints professionally, escalating issues when necessary.
  • Monitor service quality and suggest improvements to enhance the overall client experience.
  • Provide regular reports on client feedback, satisfaction, and retention rates.

Marketing & Business Development Support:

  • Assist in client outreach, engagement, and retention strategies to grow the clinic’s client base.
  • Support marketing efforts, including organizing events, managing referral programs, and enhancing brand reputation.
  • Coordinate with the marketing team to ensure clients receive relevant updates and promotions.

Key Requirements:

  • Bachelor's degree in Business Administration, Healthcare Management, or a related field.
  • Minimum of 3-5 years of experience in a client-facing role, preferably in healthcare, wellness, or luxury services.
  • Strong interpersonal and communication skills with a client-first approach.
  • Proficiency in scheduling software and CRM systems.
  • Ability to handle confidential information with professionalism and discretion.
  • Excellent organizational and problem-solving skills.
  • Fluency in English; knowledge of Arabic or other languages is an advantage.
  • Knowledge of medical terminology, billing, and healthcare operations is a plus.
