Assisting the Sales and Revenue team in the daily tasks to reach the target and ensure the correct distribution of our hotels on the various Distribution platforms;
Process all reservation requests changes and cancellations received by phone, fax, or mail.
Identify guest reservation needs and determine the appropriate room type.
Verify availability of room type and rate. Explain guarantee special rate and cancellation policies to callers. Accommodate and document special requests.
Answer questions about property facilities/services and room accommodations.
Handle all special reservations including V.I.P. reservations, packages, and discounts.
Book and block rooms using hotel standards for Group Rooming Lists and Booking Agreements.
Follow sales techniques to maximize revenue. Input and access data in the reservation system. Indicate special room reservation types (e.g. complimentary rooms, employee discounts, travel agent inspection rates, and wholesale reservations) by inputting the correct code and rate into the reservation system.
Follow proper escalation procedures when addressing guest concerns.
Operational:
Closely follow up on all business leads within a 24-hour response timeline to clients.
Cultivate and develop new business relationships through key sales activities.
Maintain close business relationships with existing clients through key sales activities.
Maintain a high level of exposure for the hotel in major market areas through direct sales solicitation, telephone, fax, and written communication.
Demonstrate commitment to Hotel operating principles and philosophies.
Perform all duties and responsibilities in a timely and efficient manner.
Maintain the highest standards of professionalism and attitude towards all internal & external guests.
Develop and maintain close working relationships with all departments throughout the hotel.
Ensure smooth interdepartmental communication channels to get messages/information received and disseminated.
Systems and Procedures:
Prepare proposals for qualified leads or inquiries for the group business segment over 10 rooms with function as per the requirements.
Finalize detailed arrangements on both rooms and functions with clients/organizers and prepare the final contract accordingly.
Trace for confirmations and deposits with clients/organizers per the guidelines of cutoff dates.
Review the contracts of corporate meetings and conventions for cutoffs, special arrangements/requirements committed to clients/organizers.
Conduct a detailed handover upon confirmation of group with signed contract and introduction of the Client.
Qualifications:
Minimum 2 years experience in a sales position.
Degree/Diploma in Hotel Management / Business Administration.
Strong knowledge of Opera Sales & Catering & Microsoft Office.
Understands the local culture and has worked in the region.
Fluency in English written and spoken.
Fluency in Arabic written & spoken is an advantage.
