Job description

Job Overview:

The Customer Service Coordinator will oversee the importation of shipments for Unicare, ensuring the timely availability of the product portfolio. This role will be responsible for obtaining necessary authority approvals from the Ministry of Health and Dubai Municipality efficiently and in compliance with all relevant regulations.

Key responsibilities include managing logistics documentation, serving as the primary point of contact for multiple principal companies, and ensuring the seamless flow of shipments. The coordinator will also oversee inbound and outbound documentation requirements while facilitating cross-functional collaboration to optimize supply chain operations.

Key Responsibilities:

  • Oversee daily authority approval requirements for the import of pharmaceuticals and medical devices.
  • Manage the shipment process, ensuring compliance with shipping documentation requirements as per regulatory guidelines.
  • Coordinate cross-functionally with supply chain, regulatory, finance, warehousing, and other internal teams to ensure smooth operations.
  • Liaise with freight forwarders and third-party logistics providers as needed to facilitate shipments.
  • Ensure full compliance with regulations set by relevant authorities.
  • Maintain effective communication with customers and logistics service providers to resolve queries and streamline processes.
  • Respond promptly to principals' requirements for shipment handling, ensuring adherence to set lead times.
  • Maintain shipment tracking reports, monitoring flow and approval timelines for visibility and efficiency.
  • Follow established procedures and guidelines to ensure consistency and quality in work output.
  • Engage in training programs to enhance knowledge, skills, and professional development.
  • Collaborate with colleagues to share best practices and foster a culture of learning and innovation.
  • Proactively contribute ideas for process improvements and operational efficiency.
  • Adapt to technological advancements and evolving methodologies to enhance productivity.

Qualification & Experience:

  • Bachelor’s degree in business administration, Logistics, Supply Chain Management, or a related field.
  • Minimum of 3 years in logistics administration, freight coordination, or a similar role.
  • Familiarity with 3PL handling and shipping documentation
  • Ability to work proactively, handle multiple tasks, and meet deadlines under minimal supervision.
  • Strong analytical and reconciliation skills.
  • Excellent organizational and time-management abilities.
  • Clear and professional communication skills to liaise with internal and external stakeholders.
  • Proficient in MS Office, especially Excel, for data management and reporting.
