UAE National Role - Business Support Assistant
Our Client, a multinational company, is searching for a UAE national to join their Dubai team. The candidate will be supporting the Chief Representative and General Manager in an Executive Assistant capacity.
The role will include aspects of Administration Support:
- To provide full administration support to the Chief Rep
- Day to day administration of calendar, meetings, phone and e-mails
- Schedule and coordinate external and internal meetings and preparation of meeting material
- Administrative arrangements for office and team meetings: Includes booking meeting rooms and accessories for meetings
- Secretarial services for the Team – typing letters, sending faxes as required, check and distribute incoming mail, attend telephone calls
- Business Travel coordination for the team: Includes coordinating procurement of air tickets, organizing hotel, marhaba, transport for overseas visitors, and updating travel link in system
- Process invoices for payment
- Maintain petty cash
- Maintain Fire proof safe list
- Maintain staff passport copies/photographs
- Circulate magazines and other printed matter
- Book rent-a-car for business travel within the region
- Manage travel schedules for senior executives visiting the region
- Administer the documents at info fort
- Maintain Chief rep / MT communications/letters/files with various parties
- Maintain stationery, print business cards for team
- Preparing Expense Claim for Management Team and keeping track of claims from airport
Managing Inventories of promotional collateral:
- Sourcing for MESA - selection, ordering and stock keeping giveaways and PR material
Internal communication between departments:
- Regular monitoring of PR activities, training, new contacts, staff organization changes
Languages Needed: English - Fluent / Excellent, Arabic - Fluent / Excellent
Qualifications/Experience:
- Good communication skills
- Ability to function independently with minimum supervision
- Networking skills are essential
- Proficiency in PC applications
- Fluency in written and spoken English
- Strong time management & organizational skills
- Proficiency in MS Office
- Confidentiality essential
Education: Graduate
