Job Brief:
We are seeking to hire a Team Coordinator for one of our top end clients in Dubai (a Real Estate Sales Gallery). The Team Coordinator is responsible for overseeing and managing a team’s day-to-day operations ensuring that tasks are completed efficiently, on time, and to the required standards. The role involves facilitating communication between team members, coordinating schedules, managing resources, and supporting team members to achieve their goals. The Team Coordinator plays a key role in ensuring the team operates smoothly, fostering collaboration, and ensuring alignment with organizational objectives.

Key Responsibilities:

  1. Team Coordination and Support:
    • Manage the workflow and daily tasks of the team ensuring that work is completed on time and to the required quality standards.
    • Coordinate team schedules including meetings, deadlines, and appointments.
    • Serve as the primary point of contact between team members and management.
    • Monitor team progress and provide guidance or assistance when needed.
  2. Communication Facilitation:
    • Act as a liaison between the team and other departments or external partners.
    • Facilitate clear and effective communication within the team ensuring all members are informed of relevant updates, changes, or new developments.
    • Organize and lead regular team meetings to discuss progress, challenges, and goals.
  3. Project Management:
    • Coordinate team projects from initiation to completion ensuring milestones and deadlines are met.
    • Track project progress, identify any issues, and make adjustments as necessary.
    • Ensure that all team members are clear on their responsibilities and have the resources they need to succeed.
  4. Administrative Support:
    • Handle administrative tasks such as preparing reports, managing documentation, and maintaining records.
    • Coordinate meetings, conferences, and events including logistics, venue arrangements, and communication.
    • Ensure that resources (supplies, tools, equipment) are available for team members to perform their tasks efficiently.
  5. Problem Solving and Conflict Resolution:
    • Identify any challenges or conflicts within the team and work to resolve them quickly and effectively.
    • Address concerns raised by team members providing support and solutions where needed.
    • Foster a positive and collaborative team environment.
  6. Performance Monitoring and Reporting:
    • Monitor individual and team performance providing feedback and suggesting areas for improvement.
    • Collect and analyze performance data preparing reports for management on team progress and achievements.
    • Assist in conducting team performance reviews and setting future goals.
  7. Resource Management:
    • Ensure that team resources are allocated appropriately to meet deadlines and objectives.
    • Assist with managing the team’s budget, equipment, and other materials.
  8. Team Development:
    • Assist with onboarding new team members ensuring they are properly trained and integrated into the team.
    • Support the development of team skills through training workshops and mentoring.
    • Promote a positive, productive, and inclusive work culture.

Requirements

Qualifications:

  • Education:
    • A high school diploma or equivalent is required; a bachelor’s degree in business management or a related field is preferred.
  • Experience:
    • Previous experience in a team coordination or administrative role is a plus.
    • Experience with project management, team leadership, or customer service is beneficial.
  • Skills:
    • Strong organizational and time management skills.
    • Excellent communication and interpersonal skills.
    • Ability to multitask, prioritize, and manage several projects simultaneously.
    • Problem-solving and conflict resolution skills.
    • Proficiency in Microsoft Office Suite or other project management tools (e.g. Trello, Asana, or Monday.com).
    • Attention to detail and accuracy.
