Job description

Project Secretary and Document Controller

Provide administrative support to the project team, including scheduling meetings, preparing agendas, and taking meeting minutes.

Assist in the coordination and tracking of project deliverables and milestones.

Assist in the preparation and distribution of project communications, such as memos, emails, and presentations.

Maintain accurate and up-to-date records of project-related documentation.

Handle incoming and outgoing communications, including emails and phone calls.

Coordinate with subcontractors and suppliers as required.

Ensure compliance with company policies and procedures.

Contribute to the overall success of the project by performing additional tasks and responsibilities as assigned.

Desired Candidate Profile

  • Bachelor's degree in a relevant field, such as business administration.
  • Proven experience as a secretary or administrative assistant, preferably in MEP construction or engineering environment.
  • Proficiency in MS Office applications (Word, Excel, Outlook).
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication and interpersonal skills.
  • Attention to detail and accuracy in all work.
  • Ability to multitask and prioritize tasks effectively.
  • Flexibility to work on-site at various project locations as needed.
  • Professional demeanor and ability to maintain confidentiality.
  • Fluency in English, both written and spoken.
