Job description

We are seeking an organized and proactive Admin Executive to provide high-level administrative support to the General Manager (GM). This position offers an excellent opportunity to work closely with senior management and play a key role in the day-to-day operations of the office.

Key Responsibilities:

  1. Provide high-level administrative support to the General Manager, including managing calendars, scheduling meetings, and handling correspondence.
  2. Coordinate and organize executive meetings, prepare agendas, take minutes, and follow up on action items.
  3. Serve as a liaison between the GM and both internal and external stakeholders, ensuring effective communication and prompt follow-up on requests and inquiries.
  4. Manage travel arrangements for the GM, including booking flights, accommodations, and preparing detailed itineraries as needed.
  5. Prepare and edit correspondence, reports, and presentations on behalf of the GM.
  6. Maintain confidentiality and handle sensitive information with discretion and professionalism.
  7. Anticipate the GM’s needs and proactively address issues to ensure smooth day-to-day operations.
  8. Assist in coordinating special projects and strategic initiatives under the direction of the GM.
  9. Ensure the GM’s office runs efficiently by streamlining processes and implementing best practices.
  10. Prioritize and manage multiple tasks simultaneously, demonstrating strong time management and organizational skills.
  11. Collaborate with other administrative staff to support the overall needs of the executive team and the organization.

Qualifications & Skills:

  1. Proven experience as an administrative assistant / Secretarial / Executive Assistant or in a similar role.
  2. Strong organizational skills and attention to detail.
  3. Excellent communication and interpersonal skills.
  4. Ability to manage multiple tasks and prioritize effectively.
  5. Proficiency in Microsoft Office Suite and other relevant software.
  6. A proactive attitude and the ability to anticipate needs.
  7. Ability to maintain confidentiality and handle sensitive information.
  8. A team player with a collaborative approach to work.
