Job description

Job Responsibilities

  1. Coordinate and manage administrative tasks such as scheduling meetings, preparing documents, and organizing files.
  2. Handle incoming and outgoing correspondence, including phone calls, emails, and mail.
  3. Maintain and update databases, spreadsheets, and other records.
  4. Coordinate travel arrangements and accommodations for staff members.
  5. Support HR functions, such as onboarding new employees and maintaining personnel records.
  6. Coordinate and assist with event planning and coordination.
  7. Handle confidential and sensitive information with discretion and professionalism.
  8. Provide general administrative support to the team as needed.
  9. Assist with special projects and other duties as assigned.
  10. Handle office repairs and maintenance requests in liaison with the respective offices.
  11. Manage employee travel expenses and claims, company corporate cards, allocation of cash to drivers, and petty cash management.
  12. Visitor management - arranging for visas, hotels, travel, and meals for guests as well as employees.
  13. Employee database management - updating employee files.
  14. Coordination with various office locations.
  15. Arranging for gate passes.
  16. Company vehicle management - applying for and renewing fuel cards, registration expiry, etc.
  17. All other day-to-day administration tasks assigned by the department heads.
