Job description
  1. Take care of all the engineering local purchases & follow up all the pending purchase requests.
  2. Check the availability of all the required items by engineering staff in the local market.
  3. Look for purchasing good quality materials within the local market.
  4. Ensure to submit local expense report with all the purchased invoices timely.
  5. All the purchased items are regularly shown to the receiving clerk for official receiving.
  6. Assist in preparing the annual budget for the engineering department.
  7. Make sure engineering offices and storage areas are kept clean, orderly, and safe at all times.
  8. Track operational needs and ensure financial objectives are met.
  9. Assist in effectively planning, scheduling, and evaluating preventative maintenance programs.
  10. Record all incoming calls, requests, tasks, and incidents on the log sheet and ensure that they are followed up to make sure that all guest requests are carried out to the hotel standards.
  11. Attend to the reception and ensure visitor, supplier, and contractor requests are handled accordingly.
  12. Responsible for maintenance contracts’ administration with 3rd party vendors/contractors, as may be assigned.
  13. Maintain all files and trace systems in the engineering office in a neat and orderly manner.
  14. Follow up daily on enterprise system updates (i.e., Transcendent, GXP, Oasys) and assure full compliance.
  15. Post important announcements, information, and messages on the bulletin board.
  16. Generate GXP daily report and update GSS scoreboard daily.
  17. Update the HLP records daily.
  18. Update the pest control report.
  19. Update the monthly departmental training report.
  20. Prepare monthly departmental meeting presentation & agenda and distribute meeting minutes accordingly.
  21. Responsible for ensuring follow up and closure of pending asset green stickers.
  22. Prepare local expense reports, technician training manuals & certificates.
  23. Update departmental organization chart.
  24. Report any serious maintenance problems, unusual findings, or safety hazards immediately to the manager.
  25. Prepare and review written documents (e.g., daily logs, business letters, memoranda, reports), including proofreading and editing written information to ensure accuracy and completeness.
  26. Keep office equipment in working order and contact service representatives to correct problems with office equipment, including following up to ensure the problem is corrected.
  27. Maintain a safe and hygienic work environment & perform related duties and special projects as assigned.
  28. Ensure all associates have the proper supplies, equipment, and uniforms.
  29. Establish and maintain open, collaborative relationships with associates.
  30. Ensure that regular ongoing communication occurs with associates in order to create awareness of business objectives, communicate expectations, and recognize performance.
  31. Responsible for all entries of budget management system & recording money minder.
